About the role
Entry-level Administrative Assistant to support daily office operations, provide clerical support to staff, and ensure efficient workflow in a fast-paced office.
Key responsibilities
Greet visitors and handle basic reception duties (answer phones, direct calls, take messages).
Manage incoming/outgoing mail and shipments; coordinate with couriers.
Maintain shared calendars; schedule and confirm appointments and meetings.
Prepare and set up meeting rooms (AV equipment, refreshments, materials).
Perform data entry, document preparation, scanning, copying, and filing.
Draft, proofread, and format routine correspondence and reports.
Order and restock office supplies; track inventory.
Assist with basic bookkeeping tasks (expense reports, petty cash reconciliation).
Support onboarding paperwork for new hires and maintain personnel files.
Complete ad-hoc administrative tasks and small projects as assigned.
Required qualifications
High school diploma or equivalent.
0–2 years of administrative, clerical, or customer-service experience preferred.
Proficiency with Microsoft Office (Outlook, Word, Excel).
Strong organizational skills, attention to detail, and time management.
Professional communication skills, both written and verbal.
Reliable, punctual, and able to work independently and in a team.
Preferred qualifications
Associate degree or relevant certification (office administration).
Experience with scheduling tools, CRMs, or basic accounting software.
Bilingual skills (specify language) are a plus.
Physical requirements
Ability to sit or stand for extended periods and perform routine office tasks.
Occasional lifting of items up to 20–25 lbs.
