Job Overview
We run a growing VR rental and event business: from corporate team-building experiences to private parties and brand activations. We need someone to help keep the engine running behind the scenes on the West Coast and some central Canada work.
As our Ops Coordinator, you'll own the logistics that keep every event on track: equipment, bookings, vendor coordination, and the day-to-day details the founder currently juggles. This is a 10-hour-per-week role with real room to grow as we scale.
What You'll Do
Equipment & Logistics
Track VR headset inventory, charging schedules, and readiness for each booking in Alberta, British Columbia and Saskatchewan
Coordinate equipment transport to and from event locations
Flag maintenance needs and liaise with repair vendors
Manage packing checklists and post-event equipment checks
Booking Coordination
Manage the booking calendar and confirm scheduling details with clients
Send confirmation emails, pre-event instructions, and follow-up messages
Coordinate with event hosts on timing and logistics
Maintain and update booking records in our CRM or spreadsheet system
Vendor & Admin
Liaise with venue contacts, delivery providers, and equipment suppliers
Process invoices and track outstanding payments
Support the founder with ad-hoc operational tasks as they arise
Who You Are
Highly organised : you notice the details others miss
A confident communicator via email, phone, and text
Comfortable working independently with minimal day-to-day oversight
Experienced in an operations, events, or admin coordination role
Familiar with tools like Google Workspace, Airtable, or similar
Bonus: experience in events, AV/tech rentals, or hospitality
