Job Overview
We are seeking a dynamic and highly organized Office Manager / Executive Assistant to join our team. This vital role combines administrative excellence with office management expertise, ensuring smooth daily operations and providing exceptional support to leadership. The ideal candidate will demonstrate superior communication skills and possess a proactive attitude to keep the office running efficiently. Your energy, attention to detail, and ability to juggle multiple responsibilities will be key to your success and the overall success of our organization.
Responsibilities
• Open the office each morning at 7:45 am
• Manage daily office operations, including overseeing front desk activities and general clerical functions
• Coordinate calendar management and schedule appointments for Director and team members with precision and professionalism
• Organize and plan meetings, and training sessions to foster team development and engagement
• Supervise vendor relationships, including managing supplies, and ensuring timely deliveries
• Handle human resources functions such as onboarding new staff, maintaining employee records, and supporting payroll processes using QuickBooks or similar software
• Oversee bookkeeping tasks like invoicing, expense tracking, and maintaining accurate financial records
• Maintain organized filing systems—both digital and physical—and ensure confidentiality of sensitive information
Skills
• Proven experience in office management or administrative roles with strong organizational skills
• Excellent communication skills with professional phone etiquette and interpersonal abilities, BI-Lingual is required
• Proficiency in QuickBooks for payroll, bookkeeping, and budgeting tasks
• Strong calendar management skills with the ability to prioritize effectively
• Knowledge of human resources practices including onboarding, training & development, and employee recordkeeping
• Experience managing front desk operations, filing systems, and clerical duties
• Ability to handle confidential information discreetly while maintaining professionalism at all times
