Job Description
LHH is actively seeking a Senior Administrative Assistant for one of our top clients in Miami! This will be a contract to perm opportunity with our client and will work hybrid to their office in Miami. This role will be supporting to VPs.
Job Description:
This role provides high-level administrative support to two senior Vice Presidents with heavy travel schedules. The position requires a proactive, autonomous, and experienced executive assistant who can manage complex calendars, coordinate travel, support large team meetings, and act as an office point of contact when based in Miami.
Primary Responsibilities / Typical Day:
• Heavy calendar management for two VPs with frequent travel and overlapping obligations
• Travel coordination including flights, hotels, and itineraries
• Expense management using Concur
• Coordination of large team meetings (60-80 attendees)
• Compiling and supporting PowerPoint presentations for team calls
• Managing overlapping meetings and resolving conflicts proactively
• Coordinating meals and meetings while executives are traveling
• Supporting Excel-based data tracking and reporting
• If Miami-based, acting as Office Manager and on-site point of contact
Most Important Responsibilities and % of Time:
• Calendar management and scheduling: 40%
• Travel and expense coordination: 20%
• Meeting support and presentation assistance: 20%
• Data management, Excel support, and office coordination: 20%
Experience / Soft Skills
Must Have:
• 5-7 years of executive administrative support experience
• Experience supporting senior or executive leadership
• Strong autonomy and self-motivation
• Proactive, seasoned, and confident communication style
• Ability to manage competing priorities independently
Nice to Have:
• Experience supporting multiple executives simultaneously
• Office management experience in a small office environment
Software and Technical Skills
Required:
• Outlook (heavy calendar management)
• Concur (expense management)
• PowerPoint (including executive-level and PPW decks)
• Excel (sorting, managing, and tracking data)
Preferred:
• Experience supporting large-scale virtual and in-person meetings
Pay Details: $35.00 to $37.00 per hour
