About the Role & Team:
The Walt Disney Company's ABC Legal News and Regulatory team is looking for a talented Executive Assistant to provide vital support to our Deputy Chief Counsel and assist a dynamic team of nine (9) talented news and regulatory attorneys.
In this Executive Assistant role, you will be essential in managing administrative activities and enhancing the operational efficiency of our team. We are seeking a proactive and detail-oriented professional who excels in a fast-paced setting and effectively prioritizes diverse tasks.
What You Will Do:
• Create and maintain reports, including attendance and vacation schedules for the team.
• Schedule meetings and manage executive calendars using Outlook.
• Book meeting rooms and videoconferencing via Disney applications.
• Organize and maintain electronic files and databases.
• Coordinate travel arrangements, prepare and submit expense reports, and track reimbursements/payments.
• Assist with onboarding new team members, as well as engaging with visitors, retirees, and celebrating special occasions.
• Perform various office duties, such as photocopying, scanning, filing, ordering supplies, and coordinating with executive tech support.
Required Qualifications and Skills:
• Minimum of three (3) years of legal secretarial experience in a corporate environment.
• Advanced proficiency in computer software, including the latest versions of Microsoft Word, Outlook, Teams, Net Documents, and ideally SAP.
• Familiarity with court documents is an advantage.
• Basic understanding of Microsoft Excel and PowerPoint is beneficial.
• Exceptional organizational skills and strong follow-through capabilities.
• Ability to thrive in a fast-paced environment while effectively managing deadlines and multitasking.
• Detail-oriented with excellent writing and communication skills.
• Ability to handle confidential and sensitive information with discretion.
• A proactive, resourceful, and flexible self-starter who can work independently.
• Demonstrates professionalism and strong interpersonal skills, effectively collaborating as part of a team.
Preferred Qualifications:
• Experience in supporting a news team or legal division within media is preferred (experience with media legal issues is a plus).
• A legal secretarial background, particularly in a large law firm or corporate legal department, is favored.
• Knowledge of emerging technologies, such as AirTable and AI platforms, is beneficial.
Education:
High School Diploma or equivalent.
The hiring range for this position in New York City is $68,400.00 to $91,700.00 per year based on a 40-hour work week. Please note that hours scheduled per week may vary based on business needs. The actual base pay offered will consider internal equity and the candidate's job-related knowledge, skills, and experience among other factors. Reporting to the Estates Supervisor, you will be vital in preparing and reviewing documents for the authorized signatories of The Salvation Army. This role includes the examination of financial statements from various institutions to ensure accuracy and compliance.
This position requires approximately 35 hours of work per week and is onsite.
Responsibilities
• Thoroughly review all incoming documents related to legacies, preparing them for signature and ensuring all necessary attachments are included. Notarize documents as needed once executed by authorized personnel.
• Correct and recreate documents received from financial institutions and various Commands to maintain accuracy.
• Engage with representatives of financial institutions to obtain accurate information and confirm submission of required documentation.
• Review bank statements for estates and third-party trust distributions, ensuring all entries are accurate.
• Verify that all third-party trusts are correctly entered in the Estates Database.
• Analyze annual fiscal year-end reports
