Seeking a highly organised and proactive Personal Assistant to provide dedicated administrative and coordination support across key functions. Play a critical role in ensuring the smooth delivery of operational activities by supporting communication, reporting, and workflow coordination across teams.
Seeking a highly organised and proactive Personal Assistant to support our Operations Manager. As the business continues to grow and operational requirements become more complex, this role has been established to provide dedicated administrative and coordination support across key functions.
You will play a critical role in ensuring the smooth delivery of operational activities by supporting communication, reporting, and workflow coordination across teams. You will be available to work between the hours of 8:30 am - 6:00 pm, Monday to Friday. This is a permanent, full time role with a minimum of 30 hours per week guaranteed.
Key Responsibilities
Provide comprehensive administrative and organisational support to the Operations Manager, including managing schedules, priorities, and deadlines
Assist in monitoring operational activities and proactively follow up on tasks to ensure deadlines and priorities are met
Act as a key liaison between the Operations Manager, internal teams, and external stakeholders, ensuring effective communication and coordination
Prepare reports, briefing notes, presentations, and professional correspondence to support business operations and decision-making
Compile and organise operational data to support reporting, planning, and internal processes
Coordinate meetings, including scheduling, agenda preparation, minute-taking, and tracking of action items through to completion
Manage diary commitments, travel arrangements, and logistics for internal and external engagements
Screen and manage incoming communications, including calls, emails, and correspondence, responding or redirecting as appropriate
Maintain accurate records, confidential files, and business documentation in accordance with company requirements
Support coordination and tracking of operational workflows to ensure timely completion of key business activities
Handle enquiries and provide information on behalf of the Operations Manager in a professional and timely manner
Minimum requirements
Diploma (or higher) in Business Administration or a related field, or a minimum of 3 years’ relevant work experience in a Personal Assistant, Executive Assistant, Business Assistant, or similar role
Demonstrated experience supporting a manager or operational function, including coordinating across teams and managing competing priorities
Demonstrated experience working within a regulated or compliance-focused environment, including exposure to documentation, record-keeping, or process adherence requirements
Strong organisational, communication, and stakeholder coordination skills
