Job Description

Full Time, Facilities Management Coordinator
$23 to $30, DOE

Monday to Friday, 8 am to 4 pm

Join our dynamic Facilities team as a Coordinator! If you are an organized, energetic individual who enjoys building strong relationships and keeping operations running smoothly, this role is perfect for you. You'll be the friendly point of contact for our residents, their families, and our outside vendors.

As a key player in our team, you will coordinate with repairmen, remodelers, groundskeepers, and more—scheduling work, managing timelines, and ensuring projects are completed effectively. Your role is vital in ensuring smooth communication between vendors and our internal team.
• Collaborate closely with the Director, Maintenance Supervisor, and Housekeeping Supervisor to efficiently resolve facility issues.
• Assign and track work orders, attending daily huddles to clarify assignments and priorities.
• Coordinate apartment renovation projects with our Maintenance team and external vendors.
• Code invoices for payment and manage building access cards for employees.
• Oversee service management with our cable provider and assist residents with troubleshooting simple TV issues.
• Lead the maintenance work order system, issuing and tracking work orders, and creating reports.
• Provide professional support on incoming calls, relaying messages and directing inquiries as necessary.
• Welcome residents, personnel, visitors, guests, and vendors, offering assistance and information.
• Perform clerical tasks, including filing and typing correspondence as assigned by the Director of Buildings & Grounds.
• Maintain accurate data in our apartment/work order database (WorxHub).
• Assist property management with rental properties as needed.
• Keep our emergency communications app updated with current contact information.
• Prepare materials and reports for meetings as required.
• Keep the Director informed of any resident or staff concerns.
• Order necessary office and department supplies.
• Manage and update files and reference materials.
• Notify Security of any concerns or issues.
• Communicate via two-way radio and pager system as required.
