Job Description
We are seeking a highly organized and detail-oriented Bookkeeper & Office Administrator to support the financial and administrative operations of our growing design-build contractor company. This role is primarily focused on bookkeeping, accounting coordination, payroll support, subcontractor and client invoicing, and maintaining accurate financial records across ongoing residential and commercial projects.
Proficient experience with QuickBooks Online is essential for this role. The ideal candidate will be confident managing day-to-day bookkeeping independently, reconciling accounts, organizing and cleaning financial records, and ensuring accuracy across all accounting functions. Experience within the design-build, construction, architecture, engineering, or project-based industry is considered a strong asset.
Responsibilities
Manage day-to-day bookkeeping operations using QuickBooks Online
Maintain accurate and organized financial records across multiple projects
Handle accounts payable and accounts receivable, including subcontractor invoices and client billing
Prepare and issue invoices, monitor payments, and follow up on outstanding receivables
Reconcile bank accounts, credit cards, and company expenses regularly
Assist with payroll processing for employees and subcontractors
Help clean up and organize bookkeeping records to ensure financial accuracy and compliance
Track project-related expenses and support management with budgeting and cost reporting
Coordinate with employees, subcontractors, vendors, consultants, and clients regarding financial documentation and payments
Maintain organized digital and physical filing systems for accounting and administrative records
Support onboarding paperwork and general administrative tasks as needed
Identify opportunities to improve bookkeeping and office procedures for greater efficiency
Skills & Qualifications
Proficient experience with QuickBooks Online is required
Strong understanding of bookkeeping principles, reconciliations, invoicing, and expense tracking
Experience managing accounts payable, accounts receivable, and payroll support
Ability to independently maintain clean, accurate, and organized financial records
Experience in a design-build, construction, architecture, engineering, or project-based environment is strongly preferred
Strong attention to detail and high level of accuracy
Excellent organizational and time-management skills
Strong communication skills for interacting professionally with staff, subcontractors, vendors, consultants, and clients
Proficiency with Microsoft Office and general office software
Ability to manage multiple priorities in a fast-paced environment
Self-motivated, dependable, and proactive in problem-solving
