Job Description

NTT Data are seeking an experienced and proactive Office Manager to take ownership of the day-to-day operation of our Perth office and provide trusted administrative and executive support to the leadership team. This is a 12 month contract and full time onsite from our Perth CBD office.


This pivotal role acts as the central point of coordination for office management, facilities, onboarding and offboarding, financial administration, events, and leadership support. As Office Manager, you will play a key role in creating a professional, efficient, and welcoming workplace that supports productivity, wellbeing, and a positive office culture.


Key Responsibilities:


Office & Facility Support

Act as the primary point of contact for all internal and external office related matters
Oversee the presentation, functionality, safety, and employee experience of the Perth office
Manage reception services including calls, visitors, client hosting, and meeting support
Coordinate mail, couriers, deliveries, and office communications
Liaise with the building Facilities Manager regarding maintenance and operational requirements
Raise, track, and follow up facilities and maintenance requests with strong consideration for health, safety, and wellbeing
Manage office inventory, stationery, shared assets, and equipment allocation

Administrative & Secretarial Support

Provide high level administrative support with minimal supervision
Support leaders with calendar management, meetings, travel bookings, and expense claims
Prepare approval documentation and manage DocuSign processes
Coordinate meetings including logistics, room bookings, agendas, and minutes as required
Prepare, update, and format correspondence, reports, presentations, spreadsheets, and databases
Facilitate effective communication between leadership, employees, and external stakeholders

Reporting & Documentation

Maintain accurate records relating to office operations, assets, vendors, and employee movements
Assist with preparation, review, and distribution of management reports and documentation
Review system data for accuracy, investigate discrepancies, and escalate issues when required
Support financial administration including:
Invoice receipt and processing
Purchase order creation and tracking
Vendor liaison and query resolution
AMEX reconciliation


Client & Team Support

Contribute to client engagement activities and support the overall success of the Perth team
Coordinate onboarding and offboarding processes, acting as the primary contact for new starters and leavers
Manage desk setup, equipment allocation, office inductions, asset recovery, and stakeholder notifications
Organise and support internal and external events such as Town Halls, meetings, and team functions
Manage event logistics including venues, catering, vendors, and invitations in collaboration with Marketing and internal teams
Own and support office social events and the local social committee, contributing to a positive workplace culture

Key Requirements:

Demonstrated experience in office management or administration within a corporate or professional environment
Strong organisational and time-management skills with the ability to manage competing priorities
Excellent written and verbal communication skills
Strong stakeholder management and interpersonal capabilities
High attention to detail and a proactive, solutions-focused mindset
Professional, resilient, and comfortable working autonomously
