Job Description
Anchorage Classical Ballet Academy is looking for a reliable, detail-oriented Administrative Assistant to support our small but busy dance academy. This is a part-time, in-person role with a wide variety of tasks — no two days look exactly the same. You'll be helping keep things organized and running smoothly behind the scenes across front desk, admin, shows, and more.
We're a small team, so we're looking for someone who's self-sufficient, takes initiative, and doesn't need a lot of hand-holding. A background in or appreciation for ballet is a bonus.
Schedule
5 days per week, including evenings (typically until 8–9pm) and Saturdays
Approximately 15–30 hours per week
What You'll Help With
Front Desk & Communication
Serve as the welcoming first point of contact for students, families, and visitors
Monitor and respond to emails and voicemails promptly
Communicate with individual families and send school-wide correspondence about schedules, closures, absences, and updates
Follow up with trial students and prospective families to support enrollment
Confirm new registrations and assist with converting inquiries into enrollments
Follow up on overdue accounts and students with frequent absences
Payments & Transactions
Collect and process payments for tuition, punch cards, boutique items, water, and other purchases
Issue donation receipts in a timely manner
Scheduling & Documents
Maintain and update the academy calendar and class schedule as changes arise
Create documents, forms, and correspondence as directed by the office manager or executive director
Student Database & Records
Perform accurate, ongoing data entry and maintenance in Dance Studio Pro (training provided)
Track absences, makeups, and enrollment records
Maintain organized files in Google Drive
Studio Opening & Closing
Unlock the studio and get it ready for the day — turning on lights, dry mopping studios, and writing the day's class schedule on whiteboards outside each studio
Close up and secure the studio at end of shift as needed
Show Support
Help with show organization and theatre week prep at the Alaska Center for the Performing Arts
Work the check-in/check-out desk during performances
Assist at the boutique merchandise table
Support the show runner, lead chaperone, and office manager as needed on show days
Costume & Uniform Coordination
Collect costume selections from instructors and maintain organized records
Assist with costume distribution and inventory tracking
Maintain uniform and supply inventory spreadsheets
Fundraising & Outreach
Assist with fundraisers as they come up
Help with sponsor and donation outreach efforts
Design, Marketing & Social Media
Assist with show program layout and design using Canva
Help with social media content and posting
Assist with website updates in Wix as needed
Summer Programs
Help with summer program prep — craft materials, supplies, and general program support
Facilities & Cleaning
Unlock the studio and prepare it for the day — lights on, dry mopping studios, writing the day's class schedule on whiteboards outside each studio
Perform regular cleaning duties as part of a shared team responsibility: bathrooms, windows, floors, and surfaces
Keep common areas, studios, bulletin boards, and hallways tidy and organized
Maintain janitorial supply inventory
What We're Looking For
Organized, dependable, and comfortable wearing many hats
Friendly and professional with children and families — customer service minded with a natural ability to make people feel welcome
Strong written and verbal communication skills
Comfortable with Google Docs and Sheets; experience with Dance Studio Pro, Canva, or Wix a plus (we'll train the right person)
Basic graphic design or social media experience helpful
Able to commute to Anchorage, AK 99503
Pay & Job Type
$16.00–$20.00 per hour
Part-time, in-person
