Dispatch Operator

Bison Transport Limited are looking to hire a Dispatch Operator to work in Cromwell, Otago. The salary will range from $30.00 to $35.00 for a minimum of 30 hours a week. Any overtime worked over 30 hours will be paid as per the base hourly pay.

Job Duties / Requirements:

Receive and process daily transport jobs, bookings, and pickup and delivery requests from customers, internal teams, and drivers.
Prepare daily run sheets, allocate loads to drivers, and schedule vehicles based on location, capacity, delivery windows, and urgency.
Coordinate dispatch activities by issuing job instructions to drivers and updating routes or priorities when requirements change.
Monitor deliveries in real time using GPS or transport systems and follow up on delays, exceptions, breakdowns, or missed pickups.
Liaise with customers, drivers, and subcontractors to confirm ETAs, pickup and delivery details, site instructions, and special handling requirements.
Create, check, and maintain transport documentation, including manifests, consignment notes, delivery dockets, proof of delivery, and customer records.
Ensure freight details are recorded accurately in the transport management system, including job notes, addresses, time slots, and service requirements.
Coordinate returns, failed deliveries, re-deliveries, and rescheduling, and record outcomes and customer communications.
Support compliance and operational requirements by maintaining driver records and job files (for example, load documentation, incident records, and supporting documents required by the business).
Maintain daily dispatch logs and reports, including completed jobs, outstanding jobs, and exception summaries for management review.
Assist with timesheet and job verification by checking driver hours or job completion details against run sheets and job records (when required).
Provide operational support to the transport team, including phone and email handling, filing, and responding to customer queries.
Skills / Qualifications:

Experience in dispatch coordination will be considered an asset; however, training will be provided.
Good communication, interpersonal, and organizational skills.
Tech-savvy with the ability to learn and use transport management systems, GPS tracking systems, and basic computer applications like excel efficiently.
Work schedule may vary as per operational needs. Routine shifts will alternate between 04:00 AM- 02:00 PM or 02:30PM- 10:30PM. On-call availability is required.
NZ citizens or residents or valid work visa holders will be preferred.
Pay: $30.00 – $35.00 per hour
