Staff Accountant with Bookkeeping Responsibilities

“Financial Operations Specialist”

Role

Position Summary

Responsible for managing financial transactions, maintaining accurate records of the financial transactions of the company, supporting the broader accounting functions within the organization, and working with the building manager to handle tenant leases and rents. This position requires a solid foundation in bookkeeping principles, alongside the ability to handle more complex accounting tasks. This position offers a unique opportunity to apply both bookkeeping expertise and an understanding of broader accounting processes.

Essential Duty Areas:

Bookkeeping:
• Accurately record and process day to day financial transactions, including accounts payable and receivable, and expense reimbursements.
• Enter and code invoices in a timely manner.
• Maintain and reconcile general ledger accounts, ensuring accuracy and compliance with accounting standards, and as required by State and Federal agencies.
• Process and reconcile bank statements, credit card transactions, and other financial records.
• Prepare and submit regular financial reports, highlighting key financial metrics and variances.
• Collaborate with internal stakeholders to ensure proper documentation and adherence to financial policies.
• Prepare and send out invoices including monthly tenant billing.

Staff Accounting:
• Assist in the preparation of monthly, quarterly, and annual financial statements.
• Conduct account analysis and reconcile financial discrepancies.
• Reconcile bank statements and balance ledgers for regular reports.
• Assist in the budgeting and forecasting processes.
• Coordinate the annual audit process and provide necessary documentation and information to the auditor.
• Ensure proper taxes are paid in a timely manner.
• Participate in the implementation and improvement of accounting software, procedures, and internal practices.
• Collateral Duty Areas:
• Assist management with required annual reporting to State and Federal Agencies.
• Assist building manager to generate and manage leases and collect rents from tenants.
• Perform other duties as required.

Authorities

To work independently with minimal direction while dealing with regular interruptions and time-constraints, maintaining a broad working knowledge of bookkeeping and accounting practices, and communicating financial information effectively to management.
• Seek out best practices in bookkeeping and staff accounting to continuously improve processes, and
• Use sound judgement and confidentiality in preparing financial records, and drafting checks and communicating with management.

Accountabilities

To the Department Managers for
• Performing responsibilities efficiently and accurately while meeting deadlines.
• Fostering strong and collaborative relationships within the company, board of directors and auditors.
• Following applicable accounting standards, policies and procedures and complying with federal regulations and reporting requirements.
• Approaching others in a professional manner; reacting well under pressure

Minimum Qualification Requirements

Required:
• Bachelor’s degree in accounting, business administration or related experience.
• At least two years’ experience in accounting or a related field.
• Strong computer skills and ability to use industry specific accounting software and equipment.
• Proven experience in financial management and problem solving.
• Excellent interpersonal and communication skills.
• Proven ability to handle multiple projects simultaneously.
• Sound knowledge of accounting fundamentals.
• Proficient in Microsoft Word and Excel.
• Strong mathematical and analytical skills and strong attention to detail.
• Ability to work independently and as part of a team.
