The Role



Our Administrator will support the office's daily operations, ensuring a smooth and efficient work environment. This role involves managing administrative tasks, supporting the Engineering and Administration staff, and maintaining office systems to ensure high levels of organisational effectiveness, communication, and safety.



Responsibilities will include:

General administration, reception and office management

Answer incoming calls and forward queries to appropriate team members.
Proof check, and compile outbound documentation.
Ensure all incoming and outgoing documentation is filed correctly on a daily basis.
Ensure all drawings, reports and correspondence that are related to specific projects are filed correctly on a daily basis.
Produce and deliver all required project related documents and drawings as needed.
Control and maintain document transmittal forms.
Manage the archiving system and ensure documents and files are archived correctly and have the ability to retrieve these documents within the timeframe specified.
Maintain the archive register.
Maintain the catalogue of drawings.
Ensure the reproduction of drawing, reports and correspondence can be achieved within timeframe specified.
Assist engineers with project specific document control and associated software.
Other ad-hoc administrative duties.




About You



To succeed in this role, you will be a highly organised and detail oriented individual who can manage a variety of administrative tasks and projects with minimal supervision. You will have a minimum of 3 years experience working in a similar role.



Our ideal candidate will also have:

Previous file management experience is strongly preferred.
Medium to strong skills with Microsoft Office (Word, Excel, etc.).
Ability to prioritise and manage own workload on a daily basis.
Attention to detail and ability to adapt to changing schedules.
Excellent verbal, written communication and personal skills.
Strong organisation and administration skills.
Work well in a team environment.
Demonstrated typing skills at around 60 wpm.
