Job Description

Job Overview

We are looking for a motivated Data Entry Coordinator to provide essential support to our facility teams in the organization and scheduling of maintenance work orders. This position requires close collaboration with the maintenance staff of our client to ensure seamless operational workflows.

Key Responsibilities
• Provide administrative support by inputting maintenance schedules into our software systems and generating reports for meetings.
• Maintain various documents to ensure compliance, reporting accuracy, vendor qualifications, and project closure.
• Assist with auditing work orders and training records to ensure accuracy and accountability.
• Oversee data reporting activities and relay insights to management and stakeholders for informed decision-making.
• Collaborate with Customer Facility Operations to quickly address any issues and ensure timely service delivery.
• Maintain effective communication with internal teams and service providers to facilitate smooth operations.
• Schedule maintenance activities and generate relevant work orders and reports to enhance efficiency.
• Provide weekly and monthly metrics on work order utilization to management.
• Enter new equipment and task lists into our Facility Maintenance Management System to ensure comprehensive tracking.
• Manage data within our SharePoint site to ensure organization and accessibility.

Required Skills
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Visio) is essential; familiarity with SharePoint is advantageous (training will be provided).
• Ability to work independently while remaining accessible during working hours.
• Experience in report writing or generating software is a plus.

Qualifications
• A High School Diploma or equivalent is required; some college coursework is preferred.
• One year of experience in a critical environment is preferred.
• Familiarity with building maintenance practices is advantageous.
• Up to 10% travel may be required for training purposes.
