The Scheduler will be responsible for coordinating caregiver schedules to meet client needs while ensuring optimal staffing efficiency. This role requires exceptional organisational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

You will also be able to answer incoming calls and taking details from prospective new clients and assisting on day-to-day matters as they arise. As we are a small homecare agency, everyone chips in and helps out.

This role is part-time. Days required are Mondays, Tuesdays, and Wednesdays, 830am-4pm.

Key responsibilities:

- Create a weekly roster for caregivers to ensure coverage for all clients

- Communicate with caregivers and clients to confirm availability and shift changes.

- Monitor and resolve scheduling conflicts or last-minute cancellations.

- Maintain accurate records in the scheduling system and update schedules as needed.

- Work closely with the General Manager and Care Manager to ensure shifts align with client care plans.

- Liaise with the General Manager to identify the need for additional staff during peak demand or emergencies.

- Serve as the point of contact for caregivers regarding shift-related inquiries.

- Provide regular reports on scheduling metrics (e.g., caregiver utilisation and shift fulfilment).

- Update systems so client and carer records are up-to-date.

The ideal candidate will have:

- Experience: Minimum 1 year of scheduling experience, preferably in healthcare, homecare, or a similar environment.

- Technology Skills: Proficiency with scheduling software and Microsoft Office (Excel, Word, Outlook).

- Communication Skills: Strong written and verbal communication skills.

- Problem-solving: Ability to manage last-minute changes and resolve conflicts efficiently.

- Attention to Detail: Meticulous with documentation and scheduling accuracy.

- Interpersonal Skills: Ability to build relationships with caregivers, clients, and other staff members.

- Flexibility: Willing to work occasional extra days due to office staff holidays or illness is desirable but not essential.
