Job Description

Centre for Women's Ultrasound is a leading provider of specialized pregnancy and gynecology services including specialist consultations, ultrasound and diagnostic tests, offering premium care and expertise. Currently located at Westmead and Norwest Private Hospital, Bella Vista, our team lead by A/Prof. Indika Alahakoon offers care in a professional and supportive environment.

Our dedicated team and state-of-the-art facilities equipped with the latest ultrasound technology allow us to deliver high-quality imaging and total healthcare solutions for women and healthcare professionals. We pride ourselves on offering a seamless patient experience and are seeking friendly, professional receptionists to be the first point of contact for our patients. Our services are expanding and we are looking to recruit several medical receptionist positions to support our growing practice.

Job Review:

As the receptionist, you will play a critical role in ensuring our patients feel welcomed, informed, and supported from the moment they walk through our doors. You will handle the administrative duties for our practice, liaising with patients, medical professionals, and our team of sonographers, midwives, and specialists. Your excellent communication skills, organizational ability, and attention to detail will ensure the smooth operation of daily appointments and patient care.

Several positions are available for candidates of variable experience to join the organisation as full-time-five days a week or part-time at least 3 days a week.

The location is across the two practices and suits candidates who have friendly communication skills and would like to develop their career within our organisation, potentially leading to a practice management position as our locations expand.



Key Responsibilities:

Greet and welcome patients in a warm, professional manner.
Manage phone inquiries and appointment bookings efficiently.
Maintain and update patient records with accuracy and confidentiality.
Provide patients with essential information about their appointments and procedures.
Liaise with medical and administrative staff to ensure seamless coordination of appointments.
Process payments and manage billing, ensuring adherence to clinic policies.
Assist with general office tasks, including scanning, filing, and correspondence.
Uphold the practice’s high standards of customer service and patient care at all times.
To be successful in this role, you will need to possess:

Previous experience: Prior experience in a medical reception or healthcare environment is preferred.

Communication: Exceptional verbal and written communication skills.

Organizational Skills: Ability to multitask and handle multiple patient inquiries and appointments simultaneously.

Technology: Proficiency in medical management software (Genie or similar) and Microsoft Office Suite.

Customer Service: Strong interpersonal skills, with a patient-centered approach.

Confidentiality: Commitment to maintaining patient privacy and confidentiality in line with healthcare regulations.

Professionalism: Friendly, empathetic, and professional demeanor, especially under pressure.Dedicated and enthusiastic approach to providing service in the health care industry

Positive 'can do' attitude

Attention to detail, reliability, and ability to complete tasks in a timely manner.

Strong work ethic, with a friendly, empathetic and professional demeanor.

Possible weekend work is available.



Preferable criteria would include:

Experience with Genie/Gentu practice software

Flexibility to working between our 2 locations of Bella Vista and Westmead.
