Job Description

Peter Lang is an international publishing group specialising in Humanities and Social Sciences. We publish about 1,000+ books every year in English, German, French and Spanish, as well as in multiple other languages, from traditional print products to eBooks and Open Access publications.

You will experience an international work environment with lean management. The Peter Lang headquarters in Lausanne, Switzerland, are the central hub for management and administration. The rest of our team is based in continental Europe, Anglo-American regions, and Asia with offices in Berlin, Brussels, Chennai, New York, and Oxford, and supporting locations in Istanbul, Madrid, Vienna and Warsaw.

 We are looking for a

Publishing Assistant

to play a crucial role in ensuring the smooth transition of manuscripts from the acquisition stage to production. As part of the Publishing Services team, you will provide essential back-office support to the Acquisition Editors, ensuring that all necessary steps are completed for successful manuscript and metadata preparation and handover to our production department.

You will work closely with colleagues in various departments, and should have a proactive, critical-thinking approach to managing your work. Training and support will be given, but experience in a similar role is required.

Key Responsibilities

Author Support
• Provide ongoing guidance and support to authors throughout the manuscript submission process to guarantee compliance with our guidelines

Editorial manuscript preparation for Production
• Manuscript quality checks in collaboration with Acquisition Editors
• Conduct several manuscript and assets checks before handover to Production

Peer Review Organisation and Coordination
• Organize and manage peer reviews, including Proposal Reviews and Clearance Reviews

Metadata Management
• Complete project entries in our ERP system
• Ensure completeness and accuracy of all entered data

Content Preparation
• Set up the manuscript for front matters and back matters for books and other publications.

Administrative Support & Coordination
• Contract registration & Files and assets archiving
• Administrative support and coordination with various departments

Required Qualifications & Skills
• Bachelor of Arts degree
• Experience or familiarity with publishing processes or academic publishing
• Proficiency in English (German, French and/or Spanish a plus)
• Strong organizational and multitasking skills, with the ability to meet tight deadlines.
• Excellent communication skills, both written and verbal.
• Proficiency in Microsoft Office Suite
• Attention to detail and a commitment to maintaining high-quality standards.
• Good coordination skills, team player
