Overview
We are seeking a highly organized and detail-oriented Event Planner to join our dynamic team. The ideal candidate will possess a passion for creating memorable experiences and will be responsible for planning, coordinating, and executing a variety of events. This role requires excellent communication and negotiation skills, as well as the ability to manage multiple tasks efficiently. The Event Planner will work closely with clients to understand their vision and ensure that every detail is executed flawlessly.
Responsibilities
• Collaborate with clients to determine event objectives, themes, and budgets.
• Research and secure venues, catering services, and other vendors necessary for successful event execution.
• Develop detailed event plans, timelines, and budgets while ensuring adherence to financial constraints.
• Coordinate logistics including transportation, accommodations, catering, and audiovisual needs.
• Oversee event setup and breakdown, ensuring all elements align with the client’s vision.
• Communicate effectively with clients, vendors, and team members throughout the planning process.
• Negotiate contracts with vendors to secure the best rates and services.
• Manage on-site operations during events to ensure everything runs smoothly.
• Conduct post-event evaluations to assess successes and areas for improvement.
Experience
• Proven experience in event planning or a related field such as fundraising or hospitality (restaurant/hotel experience is a plus).
• Strong organizational skills with the ability to manage multiple projects simultaneously.
• Proficiency in budgeting and financial management related to event planning.
• Excellent communication skills to effectively interact with clients and vendors.
• Ability to upsell services or products when appropriate to enhance client experiences.
• A proactive approach to problem-solving with strong negotiation skills.
• Familiarity with catering options and logistics is advantageous.
