Position Summary

The Event Media Specialist will have complete knowledge of
technology on campus, specifically pertaining to what each event
space has to offer. They will be responsible for fulfilling various
operational roles based on the scope of requirements for each
event. The Event Media Specialist is responsible for planning and
executing events, while using their technical expertise to track,
investigate, and recommend technology solutions and best practices
for each event. They will create and maintain an inventory of
technological supplies and equipment for the Campus Event
Management Office that can be used for events held on campus. This
position will train, communicate, and implement concepts and ideas
to event organizers, campus departments, and presenters on
technology needed for their events. They will also assist in
developing, creating, and maintaining the Campus Event Management
website, streaming options, social media, and all other
technological needs of the office.

Major Responsibilities

Administration/Management
• Assist in coordinating facility use for internal and external
event users
• Assist the Campus Event Management team in a variety of event
planning tasks including set-up, communications, day of logistics,
and clean-up of internal and external events
• Implement, communicate, and train the Campus Event Management
team and campus users on ideas and concepts for program
development, as well as the technology, platforms, and best
practices to best deliver event messaging and meeting
efficiency
• Working in partnership with campus stakeholders to produce and
execute engaging, inclusive, and modern events
• Maintain accurate records of space and equipment usage to help
develop reports

Technical
• Serve as the media production manager to coordinate the
technical aspects of events such as livestreams, audio & visual
needs, websites, and digital media hosted by the Campus Event
Management Office, including high-profile, high-impact,
presidentially hosted events
• Develop and maintain the Campus Event Management website as an
overall front-line guest experience and showcase the campus’ event
spaces, technological abilities, and details for how users can book
events at SUNY Cortland
• Research, identify, and recommend appropriate event platforms
including the use of a streaming service for livestreams and
hosting hybrid events on campus
• Develop usage policies, procedures, and troubleshooting guides
for all technology in campus event spaces
• Serve as the property control officer to create an inventory
and intake/check-out form of technical equipment and supplies for
the Campus Event Management Office

Programming
• Assist with the coordination of All-University ceremonial
events, including President’s office events, conferences,
orientations, external events and more
• Lead event marketing and promotion aspects of presidential
events through websites, social media, and graphic design
material
• Serve as the technical advisor for all the events supported by
the Campus Event Management Office
• Serve on campus and community committees as needed to improve
the abilities and services offered through Campus Event
Management

Personnel
• Create, hire, train, schedule, supervise, and evaluate student
staff that will help execute events, including Audio/Visual needs,
for the Campus Event Management Office
• Develop and sustain a working relationship with the Campus
Technology Services staff and other campus departments/offices to
improve the needs of campus event spaces and equipment needed for
the Campus Event Management Office

Functional and Supervisory Relationships

Required Qualifications
• Bachelor’s degree
• Experience planning and executing events
• Experience with Microsoft Teams, WebEx, or other media
platforms used for streaming events
• Experience with graphic design, website development, and
various social media platforms

Preferred Qualifications
• Previous event experience in audio/visual work in a higher
education setting
• Experience with hosting virtual and hybrid meetings and
events
