Reports To: Event Coordinator

Overview: We are seeking a detail-oriented and enthusiastic Assistant Event Coordinator to support our events team in planning and executing memorable events. The ideal candidate is highly organized, creative, and able to manage multiple tasks simultaneously in a fast-paced environment.

Key Responsibilities

Event Planning and Coordination:
• Coordinate with vendors, suppliers, and venues to ensure seamless event logistics.
• Assist in creating and managing event timelines, schedules, and checklists.

Communication and Collaboration:
• Act as a point of contact for clients, responding to inquiries and providing updates on event progress.
Collaborate with internal teams, including marketing, design, and operations, to ensure alignment on event objectives.
Attend meetings with clients and stakeholders as needed.

On-Site Event Support:
• Provide on-site support during events, including setup, troubleshooting, and breakdown.
• Ensure all event details are executed according to plan and address any issues promptly.
Assist with guest registration, seating arrangements, and other event-day logistics.

Administrative Tasks:
• Maintain organized records of event contracts, invoices, and communications.
• Prepare and distribute post-event reports and feedback forms.
• Assist with budget tracking and expense management.

Skills, Knowledge and Expertise
• Excellent organizational and time-management skills.
• Strong interpersonal and communication skills, both written and verbal.
• Ability to work under pressure and meet tight deadlines.
• Proficiency in Microsoft Office Suite and event management software.
