About the Role

We are seeking a friendly and organized Front Office Administrator to provide exceptional customer service and be the welcoming face of our institution. The successful candidate will play a key role in directing students and visitors, ensuring all communications are efficiently handled, and maintaining a welcoming environment.
Key Responsibilities
• Answer and direct phone calls, letters, and emails to the correct department or staff member.
• Greet students and staff warmly and offer immediate assistance.
• Maintain and organize the reception area to ensure a welcoming environment.
• Handle administrative tasks including filing, mail delivery, and office supplies.
• Sign in visitors and provide them with visitor badges.
• Set up meeting facilities and arrange for catering services.
• Provide general support, answering questions about our programmes, services, and office hours.
• Interact with various departments, including IT, for technical assistance.
• Schedule appointments and meetings.
• Maintain front door security and report any suspicious activity.
• Represent our Institution with a positive attitude and professional appearance.
Requirements and Qualifications
• Friendly and welcoming demeanour
• Strong knowledge of our institute and services
• Excellent communication and multitasking abilities
• Organized with good memory and attention to detail
• Ability to handle student support and communicating efficiently
• Basic understanding of the institute, programmes and services
