Te tūranga | The role

Wheako Pōneke Experience Wellington is seeking a resourceful, solution orientated, and project driven individual with excellent organisation and relationship skills for our newly created Kairuruku Whakatakanga | Project Coordinator position. This is a 40 hour per week role based in central Pōneke.

Te āhua o te tūranga | The nature of the position

Your role is focussed on supporting the successful execution of projects across the organisation’s art, culture and science sites – managing schedules, resourcing, and communications across teams. While you directly are a part of the Corporate Services & Learning Group, you are very much involved across our wider team to support and coordinate any projects at Wheako Pōneke Experience Wellington.
You play a pivotal role in supporting the planning, execution, and completion of various projects within the organisation. This position involves coordinating project activities, managing schedules, and ensuring that all project phases are completed on time and within budget. You will support managers to track and progress budgets and communicate updates to the wider team.
You will be the first point of call and will progress any issues through to the rest of the wider team and stakeholders. A large focus of your role is to handle administrative tasks, making sure to keep projects well documented, preparing any reports and updates, and facilitating meetings to ensure seamless project operations.

• A relevant tertiary qualification or equivalent work experience.
• Strong administrative skills, including meeting agendas, minutes, reports, timelines, and task lists.
• Excellent verbal and written communication, stakeholder management, and consultation skills.
• Proven project management experience, particularly in community environments, with a track record of successful project delivery.
• Financial skills, including budget tracking and invoice management, with high accuracy and attention to detail.
• Proficient in Microsoft Office 365, Teams, and Excel, with strong organisational and time management abilities.
• Exceptional interpersonal skills, customer service orientation, and the ability to manage diverse relationships and perspectives.
• Commercial acumen, analytical and problem-solving skills, with the ability to advise and write papers for business initiatives at all levels.
