Role Description
This is a full-time on-site role in Mumbai for a Media Operations Executive. The Media Operations Executive will be responsible for day-to-day operations, managing media campaigns, analyzing data, and effective communication with clients and team members.
Job Summary:
We are looking for a detail-oriented and organized Media Operations Executive to handle day-to-day media operations. This role involves managing documentation such as Bills, Release Orders (ROs), and Proforma Invoices, along with regular coordination with clients, vendors, and internal teams. The ideal candidate will have a clear understanding of media planning and buying processes, excellent communication skills, and the ability to handle multiple tasks under tight deadlines.
Key Responsibilities:
Prepare and process Release Orders (ROs) for media placements (print, digital, electronic, etc.)
Generate and manage Proforma Invoices , Bills , and other required documentation
Coordinate closely with the media buying team , clients , and media vendors/agencies to ensure timely release of campaigns
Track and follow up on campaign deliverables , media schedules , and billing timelines
Maintain and update records for all media bookings, documentation, and communications
Support finance and accounts teams with relevant documentation for invoice processing and payment follow-ups
Handle media vendor coordination to collect proofs of execution, invoices, and any supporting materials
Assist in media audits by organizing and submitting all required documentation
Troubleshoot discrepancies in billing or campaign executions with vendors or clients
Ensure compliance with internal policies and standard operating procedures
Key Skills and Competencies:
Strong knowledge of media operations processes in an agency setup
Proficiency in MS Office (Excel, Word, Outlook) and media tracking software/tools
Good understanding of billing cycles , media invoicing , and RO generation
Excellent communication and coordination skills
Ability to work under pressure and meet deadlines
Attention to detail and accuracy
Proactive and solution-oriented mindset
Educational Qualification:
Bachelor’s degree in Mass Communication, Marketing, Business Administration, or related field
Certification in Media Operations or similar field will be a plus
