Responsibilities

8/40 - 8 Hour Shift
Establishes and coordinates office priorities and supervises assigned staff
Ensures effective and efficient systems and processes are utilized to achieve and improve operational outcomes.
Accurately prepares correspondence Composes correspondence, memos, presentations, flyers, spreadsheets, and other documents as requested
Drafts complex documents from abstract ideas and general information
Researches and gathers data from various sources and generates special projects/reports/summaries
Report generation may involve analyzing statistics and preparing spreadsheets, databases or other documents
Proficient in the use of computer applications to complete documents/work assignments
Reviews and edits materials as requested
Navigates the Sharp Intranet site
Communication and record maintenance Prioritizes mail (including electronic mail), checks deadlines and independently initiates responses/action items or refers appropriately
Develops and maintains databases and uses computer applications as appropriate
Initiates establishment and maintenance of record keeping systems to ensure efficient retrieval of documents
Information and records are kept confidential per guidelines
Completes department specific forms/record/data management per guidelines (e.g. personnel, vendor, charge/billing, special projects, etc.)
Department efficiency and effectiveness Maintains organized and orderly patient/work areas throughout department
Orders supplies, forms and equipment, maintains stock per guidelines
Completes requisitions, work orders and obtains necessary authorizations
Manages and operates equipment safely and accurately including troubleshooting and calling for maintenance (e.g. fax, copier, printer)
Managers department resources e.g. keys, signage, badges, phones, parking permits, other) per guidelines
Arranges for additional resources (temporary staff, volunteers) to cover vacations, leaves of absences and/or variable workloads and provides supervision/direction
Coordinates office moves, space modifications (including ergonomic evaluations) computer access, etc
Billing Provides expertise and knowledge of billing and coding
Ensures that all claims submitted comply with rules and regulations governing Medicare and Medi-Cal billing by attending regular compliance training programs
Charges and associated reconciliation activities are done on a daily basis
Releases/works all patient accounts that appear on Centricity generated reports
Collaborates with PAS/PFS to ensure system integration of billing processes
Human resource management Maintains appropriate staffing level within assigned area
Hires qualified personnel by working with recruitment, performing interviews and making hiring decisions
Addresses all personnel behavioral issues via Sharp HealthCare's performance management process and conducts coaching as directed by manager
Completes staff appraisals within 30 days of its due date according to SHC performance evaluation standard
Ensures department's efficiency by overseeing the patient scheduling process
Effectively communicates with direct report staff by holding regularly scheduled staff meetings utilizing written agendas and meeting minutes
Routinely disseminates pertinent information and instructional resources
Addresses employee concerns related to the work environment and process improvement
Accurately maintains system personnel database by utilizing One Staff software
