About Our Client

UK HQ'd SaaS company that has recently received funding and is expanding their APAC business with their regional office in Melbourne. They are a fast growth company that sells solutions to the IT channel and MSP's. Their team in Australia is currently 5, but growing and they run a lot of marketing and events as part of their business development strategy.



Position Overview:

We are looking for a highly organised and proactive Office Manager with calendar management and some executive assistant support experience. The successful candidate will play a key role in supporting the smooth operation of the office, as well as assisting senior management with scheduling, event coordination, and administrative tasks.



Key Responsibilities:

Provide calendar management and scheduling support to senior leadership, ensuring efficient time management.
Assist in organising office-wide meetings, staff events, and corporate functions, including virtual and in-person gatherings.
Coordinate logistics for meetings and events, such as booking venues, arranging catering, and managing travel arrangements.
Collaborate with regional teams to ensure marketing materials, branded items (swag), and event collateral are prepared and available on time for all events.
Manage vendor relationships for event supplies, promotional items, and external services.
Work with the other office managers in the regional offices to ensure we’re providing the same level of service in all areas.
Support in the preparation and distribution of meeting agendas and materials.
Oversee general office maintenance, including liaising with building management for repairs, health and safety compliance, and facilities management.
Monitor and manage office supplies, ordering new stock as needed, and ensuring all office equipment is well-maintained.
Support onboarding of new employees, including setting up workstations, issuing IT equipment, and ensuring a smooth integration into the office environment.
Handle office budgets, including tracking expenses for office activities, supplies, and events, while maintaining cost efficiency.
Serve as the main point of contact for employees and external partners regarding office management, administrative support, and event inquiries.
Ensure the office operates smoothly by implementing and maintaining organisational policies and procedures.
Stay updated on industry best practices in office administration, facilities management, and event coordination.


Qualifications:

Proven experience as an Office Manager, Executive Assistant, or in a similar role with calendar management and event coordination responsibilities.
Strong organisational and multitasking skills with an eye for detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to work in a fast-paced environment and manage multiple priorities.


Preferred Skills:

Experience coordinating both virtual and in-person events.
Familiarity with CRM or scheduling software.
Basic knowledge of office management systems and procedures.
