The Operations & Accounts Executive is a dual-role position that combines day-to-day business operations oversight with financial and accounting support. This professional is expected to ensure smooth coordination between departments, manage routine administrative and logistical functions, and handle financial entries, invoicing, and basic compliance activities. The role requires someone who is highly organized, detail-oriented, and capable of multitasking in a dynamic work environment.
Key Responsibilities:A. Operations Responsibilities:
Process Coordination:
• Coordinate daily operational activities across departments (sales, procurement, logistics, etc.).
• Monitor project timelines and ensure deliverables are on schedule.
Vendor & Client Coordination:
• Communicate with vendors and suppliers to ensure timely delivery of goods and services.
• Liaise with clients for order updates, service follow-ups, and documentation.
Logistics & Inventory Support:
• Track movement of goods and manage dispatches/deliveries.
• Maintain records of inventory, stock levels, and replenishments.
Administrative Support:
• Prepare operational reports, meeting notes, and performance summaries.
• Maintain documentation related to contracts, purchase orders, and project files.
B. Accounts Responsibilities:
Billing & Invoicing:
• Prepare and issue customer invoices based on sales orders or service delivery.
• Ensure accuracy in invoice generation and timely delivery to clients.
Accounts Receivable & Payable:
• Track receivables and follow up for payments from clients.
• Manage vendor bills and ensure timely payments after necessary approvals.
Financial Data Entry:
• Record daily financial transactions in accounting software (Tally, QuickBooks, Zoho, etc.).
• Maintain ledgers, journals, and reconcile bank statements regularly.
Compliance & Taxation:
• Assist in preparing GST, TDS, and other statutory returns.
• Ensure that all compliance-related deadlines are met with accurate records.
Reporting & Audits:
• Prepare regular financial and operational reports for management review.
• Assist with internal or statutory audits by providing necessary data and documents.
Skills and Competencies:
• Strong understanding of both operational workflow and accounting principles.
• Proficiency in MS Office (especially Excel, Word) and accounting software like Tally, Zoho Books, or QuickBooks.
• Strong coordination and communication skills (written & verbal).
• Good analytical and problem-solving abilities.
• Ability to prioritize, multitask, and work under minimal supervision.
• Attention to detail and time management.
Educational Qualifications:
• Bachelor’s degree in Commerce, Business Administration, Accounting, or a related field.
Experience Required:
• 1–3 years of experience in a similar combined operations and accounts role.
• Experience in handling GST, TDS, and statutory accounting is preferred.
• Industry-specific experience in is a plus.
Work Environment and Conditions:
• Working Hours: [+:00 AM to 6:00 PM]
• Working Days: [ Monday to Saturday]
• Office-based position; may require occasional travel to sites, vendors, or clients.
