Role Overview:
We are seeking a highly organized and proactive Operations Executive to join our team. The successful candidate will be responsible for coordinating with clients and staff, managing client queries, and preparing monthly charts and reports. This role is crucial for ensuring the smooth operation of our services and maintaining high levels of client satisfaction.
Key Responsibilities:
1. Client Coordination:
- Act as the primary liaison between clients and the agency, ensuring clear communication and understanding of client needs.
- Maintain regular check-ins with clients to provide updates and gather feedback.
2. Staff Coordination:
- Work closely with various departments to ensure timely delivery of projects and services.
- Facilitate effective communication and collaboration among team members to streamline operations.
3. Client Queries Management:
- Address and resolve client queries promptly and professionally.
- Track and document client interactions to ensure consistent and high-quality service.
4. Monthly Chart Preparation:
- Compile and prepare detailed monthly charts for clients, highlighting key metrics and performance indicators.
- Ensure all data is accurate and presented clearly.
5. Monthly Reports:
- Generate comprehensive monthly operational reports for internal and client review.
- Analyze data to identify trends and provide actionable insights to improve operations and client satisfaction.
6. Process Improvement:
- Identify areas for improvement in operational processes and suggest enhancements.
- Implement best practices to increase efficiency and effectiveness.
7. Documentation and Reporting:
- Maintain accurate records of all client interactions and operational activities.
- Prepare and present regular reports to the Operations Manager and other stakeholders.
Qualifications:
- Bachelor's degree in Business Administration, Marketing, Operations Management, or a related field.
- Proven experience in an operations role within a marketing or branding agency.
- Excellent communication and interpersonal skills.
- Strong analytical and problem-solving abilities.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Ability to work independently and as part of a team.
- Attention to detail and strong organizational skills.
