Job Summary:
We are seeking a highly organized, results-oriented, and experienced Operations Manager to oversee and optimize our service delivery functions. This critical role involves managing the production workflow, ensuring exceptional client satisfaction, coordinating and developing our operations team, and driving efficiency across all processes. The ideal candidate will have a strong background in operations management, preferably within the real estate support or BPO sector, coupled with excellent leadership and communication skills.
Key Responsibilities:
· Oversee the daily production and delivery of all Kwikteam virtual assistant services (Listing Coordination, Transaction Coordination, Marketing, Admin, etc.) for US real estate clients.
· Ensure timely and high-quality completion of tasks, meeting client requirements and Service Level Agreements (SLAs).
· Manage operational workflow, resource allocation, and team capacity effectively.
· Implement and monitor quality control processes to maintain service excellence.
· Act as a primary operational point of contact for US client inquiries, updates, and escalations, ensuring high client satisfaction.
· Lead, manage, coordinate, and evaluate the performance of the operations team (Virtual Assistants).
· Develop, implement, and oversee training plans for the team on US real estate processes, software, and service standards.
· Identify and implement improvements to operational processes and workflows for increased efficiency and scalability.
· Prepare, analyze, and distribute regular operational performance reports (productivity, quality, KPIs) to management.
· Collaborate with client management/sales teams for smooth client onboarding and service alignment.
· Ensure operational compliance with relevant standards and stay updated on US real estate industry trends impacting services.
Required Qualifications & Skills:
· Bachelor's degree in Business Administration, Operations Management, Real Estate, or a related field.
· Minimum 3-5 years of proven experience in an Operations Management role, ideally within real estate services, BPO, KPO, or a related service delivery industry catering to US clients.
· Demonstrated experience in managing and leading teams, preferably virtual or distributed teams.
· Strong understanding of business processes, workflow optimization, and quality assurance principles.
· Excellent verbal and written communication skills, with the ability to interact professionally with US-based clients and internal teams.
· Proficiency in using CRM systems, project management software, and standard office suites (e.g., Microsoft Office, Google Workspace).
· Exceptional organizational, problem-solving, and decision-making abilities.
· Ability to multitask and perform effectively in a fast-paced environment.
· Strong analytical skills with experience in performance metrics tracking and reporting.
Preferred Qualifications:
· Direct experience with US real estate transactions, listing coordination, or property management processes.
· Familiarity with common US real estate software and platforms (e.g., MLS systems, DocuSign, Skyslope, Follow Up Boss, specific CRMs).
· Experience developing and delivering training programs.
