Job Description

How about we skip right ahead to the center of the tootsie pop. I run a small, fast moving creative business based in Vancouver, BC, but this role is fully remote. Between weddings, corporate gigs, and Northbound (a conference, podcast, and education brand for filmmakers), we’re building something real, and it’s growing. I’m biased, but I genuinely think the work we do changes people’s lives, couples get to relive their wedding days, creatives get a bigger sense of direction, and both brands are built on doing the work with care.

Honestly though, the job is not all roses and puppy dogs. There is some good news and there is some bad news.

Let’s get the bad news out of the way first:

The pay is fine, but you won’t get rich. It’s $20/hour, and it’s up to 10 hours a week. This is solid side income, not “support a household” income. If you need full time stability right now, this will turn into the “suckiest” job for you pretty quickly.

You’ll be working with a creative founder brain. That means big vision, lots of moving pieces, and sometimes a message that says, “we need to pivot this today.” If you need everything to stay the same week after week, you’re going to hate this.
Some of the work is repetitive. Following up, confirming details, updating docs, moving tasks forward. It’s not glamorous, but it’s how the machine runs.
Now let’s talk about the good stuff:

The work is fun, fresh, and dynamic. You’ll be working directly with me, and you’ll touch real projects that matter, not fake busy work. Some days it’s client communications and scheduling. Some days it’s sponsor fulfillment and conference logistics. Some days it’s cleaning up systems so we stop reinventing the wheel.
We’re not big on stress. We move fast, but we don’t do chaos for sport. I care about open communication, clear expectations, and getting things done right the first time so we don’t pay for it later.
The hours are flexible. Up to 10 hours a week, typically split across a couple blocks. What matters is consistency and follow through.
You’ll get real ownership. Big companies keep assistants in a box. I want you making decisions, improving systems, and telling me what you need from me to do your best work. If you’re the kind of person who loves being trusted, you’ll thrive.
You’ll build skills that compound. Systems, communication, project management, client experience, vendor relations, sponsor relationships, content logistics. If you’re sharp, this role will make you sharper.
You’ll help protect people’s experiences. That sounds dramatic until you’ve seen how much one missed email, one unclear timeline, or one forgotten follow up can ripple. Your work will directly impact couples, collaborators, speakers, sponsors, and our community.
This can grow. No promises, but if we find the right fit and the work clicks, there’s room for more hours and more responsibility over time.
Now, let’s talk about the job requirements:

You need to be the type of person who gets joy out of getting things done. Every week you’ll bang out a list of stuff. Fun stuff, important stuff, necessary stuff.
You’ll be on the computer a lot. You need to be comfortable with ClickUp, Google Drive, email, calendars, docs, light spreadsheets, and learning new tools without needing your hand held.
You’ll be communicating a lot. Mostly written, sometimes video with me. You need to enjoy talking with people, giving and getting direction, and keeping things professional even when it’s moving fast.
You need to care about experience. You should genuinely enjoy making other people feel taken care of. Couples, vendors, sponsors, speakers, all of them should feel like we’re on it.
You need to nail the details. I don’t need “fast and sloppy.” I need “steady and correct.” If you’re meticulous, you’ll be my favourite person.
You need to be a good human who gets stuff done. You don’t need to be the loudest person in the room. You do need to be dependable, proactive, and calm.
Bonus points if you understand creative businesses. Weddings, events, creators, timelines, vendors, content. Not required, but it helps.
In short, your job is to help me in any way you can, and to help both brands run smoother. The vibe is casual, but we do expect professionalism and punctuality. What I don’t expect is perfection or that you already know everything. I can teach tools and workflows. What I can’t teach is ownership, taste, and follow through.

Here’s what we offer: this is a part time remote executive assistant role. The pay is $20/hour and the hours are up to 10 per week. You must have reliable internet, your own computer, and be able to overlap at least a bit with Pacific time on weekdays.

In addition to being detail oriented, you must follow systems and processes. In fact, just to prove you actually read this and can follow a simple instruction, when you apply you must include “calm beats chaos” in the subject line of your email. Yep, that’s the filter. If you miss it, I’m going to assume you blanket applied everywhere and didn’t read this.

We’re looking to bring someone on as soon as possible, but we will take the time to find the best fit, both in ability and culturally. One thing that will give you a BIG leg up, but is optional, is to send a short intro video with your application.
