The Private Banking Associate will provide high-level clerical and administrative support to the Private Banking Manager and the Private Banking department, including the management and maintenance of consumer and commercial relationships. The Private Banking Associate will maintain, coordinate, and submit weekly, monthly, quarterly, and annual reporting and CRM updates as needed. The individual will demonstrate attention to detail, quality focus, high energy and flexibility with a dynamic team. This individual will need to work in close concert with the Private Banking team and represent the department with professional courtesy, delivering high quality work output in support of the team’s activities and goals, having a full working knowledge of all products, services, systems, methods, and processes to ensure thorough and efficient workflow.

This individual must be capable of multi-tasking and use good judgment and discretion, as they will work with highly confidential client information. Additionally, this individual must anticipate the needs of the Private Banking department by proactively taking the initiative to independently solve problems. This individual must possess superior interpersonal and communication skills, both written and oral. Exceptional telephone etiquette and strong business judgment are required.

Essential Duties

The following essential duties do not cover an all-inclusive list of work requirements. Individuals will perform other job-related duties as assigned, including work in other areas to cover absences or otherwise balance the workload.
• Coordinates with the administrative or accounting office of designated clients to facilitate wire transfers, deposits, bill pay, and account maintenance.
• Opens accounts (Business and Consumer) for Private Bankers as they relate to Private Banking customers (new and current) ensuring all ancillary products and services are set up, and all account opening documentation is completed. Confirms with the customer that they have full access to new accounts with no issues.
• Maintains, coordinates, and submits weekly, monthly, quarterly, and annual reporting and CRM updates as required.
• Reviews operational reports daily (overdrafts, exceptions, past dues) and alerts Personal Bankers if assistance is needed to address and respond in a timely manner.
• Facilitates the on-boarding and on-going coordination of client maintenance including helping to maintain pipeline and portfolio for the Private Banking team or Banker(s).
• Helps gather, track, monitor, and maintain information for various sources, including financial documents required to meet covenant compliance, and assist in the submission of detailed due diligence reports.
• Provides operational support, including application input, in processing consumer and real estate loan transactions, documentation, maintenance of loan files, and preparation of various reports.
• Communicates directly with title companies, appraisers, attorneys, to coordinate loan documentation as well as with loan customers both in person and over the phone.
• Professionally fields phone calls, addresses issues, redirects as appropriate, and distributes messages in a timely manner.
• Assists with projects and day-to-day tasks as assigned.
• Strong initiative, energy, and confidence to complete projects with limited supervision.
• Responds to and follows-up on any client requests.
• Maintains a poised attitude under pressure with the flexibility to adapt to changing priorities in a deadline driven environment.
• Demonstrates the highest level of integrity, confidentiality, and trustworthiness.
• Must be able to multi-task under a high level of urgency.

Requirements

Required Education and Experience
• High School Diploma or equivalent
• Minimum of three (3) years banking or financial services experience
• Strong and creative organizational skills that reflect strong ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Strong and dynamic written and verbal communication skills
• Skilled in Microsoft Office (Word, Excel, PowerPoint)

Preferred Education And Experience
• Associate degree or other relevant professional certification
• Professional experience working and maintaining supportive relationships with high-net-worth clients
• Experience working in fast-paced environment with a high degree of accuracy
• Ability to handle shifting schedules, arrangements and priorities

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment from the Bank’s headquarters office.

Physical Demands

This position requires the ability to sit at a desk, reach, bend, walk or maneuver around the bank and occasionally lift up to 15 pounds.

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday from 8 a.m. to 5 p.m.

Travel

No travel is expected for this position.
