Overview

The Product Administration Assistant reports to our Product Coordination Manager to assist with the smooth running of operations across Womenswear & Childrenswear Product & Design. This varied role is also responsible for assisting with the strategy of the critical path and its daily management, catalogue pagination planning as well providing operational admin support within Product, Design & Brand teams.

Location: 4 - 5 days per week based at our North Acton Office.

What You Will Do

Strategy & Product Critical Path
• Assist with the management of the critical path, strategically and day to day
• Assist with the updates to the Key dates document for Buying to send to all suppliers
• Assist with the organisation of all Product SLT meeting requests to support the critical path & all deadlines
• Assist as an additional support to the Design teams preparing for key sign off meetings with the Senior Leadership Team and our founder.

Marketing Critical Path & Catalogue Planning – WW & CW
• Assist as an additional point of contact in critical path partnerships with Marketing, Brand, Creative with scheduling - all combined meetings, reviews, sign offs & deadlines
• Assist with all CP meeting queries that overlap with Product & Creative
• Assist the Product Coordination Manager with Catalogue Planning
• Admin support creating the draft
• Assist in Catalogue meeting scheduling
• Chase samples ahead of outfitting & shoot
• Manage the day to day queries across Product, Design & Creative relating to the planning & execution of all catalogues

Operations & Admin
• Alongside the Product Coordination Manager be a go-to person for all Product & Design managers for queries/ projects.
• Assist being an additional point of contact for all Product & Design for support relating to meetings, IT & training.
• Town hall – support Product and Design with admin support to create content and coordinate when samples are needed.
• Assist in the distribution of Product & Design communications sent on behalf of the Senior Leaders.
• Organise travel for Product & Design Senior Leaders.
• Book models for Product & Design meetings.
• Assist with the running of the in-house sample sales.
• Support Design Senior Leaders with administration in creating the Concept boards and preparation for sign offs.
• Support our in house stylist with any sample queries ahead of lifestyle & ecommerce shoots.
• Support the Product Coordination Manager with all ad hoc requests from our Founder & Executive Team when required.

What We Are Looking For
• Strong calendar and time management skills.
• Exceptional organisational and communication skills.
• Able to prioritise tasks and complete them with a high degree of accuracy.
• Proficient in Microsoft Applications (Excel, Word, Outlook, PowerPoint)
• Not essential but a big plus, previous experience in retail.
• Have fantastic attention to detail.
• Enjoy and thrive in a fast pace environment.
• Have an uplifting outlook and be grounded in your approach.
• Able to multitask and get ‘stuff’ done, a can do attitude
• Enjoy relationship building across different functions
