The School of Energy and Natural Resources currently recruiting for a full-time administrative support position. The successful candidate will provide support to instructional and leadership staff and perform a wide variety of services to ensure the programs’ administrative functions are carried out effectively. This position will primarily provide support to the Natural Resources Programs, including: Conservation Biology, Environmental Monitoring and Assessment, Forest Technology, Geoscience Technology, Laboratory Research and Biotechnology and others
Key Responsibilities:
Providing front line support to current and prospective students regarding program information and other assistance as required
Support program scheduling as well as input and maintain student and staff records in the PeopleSoft Student Administration system,
Assist in enrolling new and current students into the PeopleSoft Student Administration system
Assist with program purchasing including requisition entry into the PeopleSoft Financial system
Apply Microsoft Word and Excel skills for day-to-day program needs
Coordinate assigned activities such as textbook orders, student orientation, maintaining and updating the program action plans
Prepare student manuals, class lists, mark collection sheets and manage student files
Perform reception duties such as telephone, email and in person inquiries, book appointments and deal appropriately with students and staff
Plan and manage office operations including filing systems (electronic and paper copies), ordering of supplies, etc.
Electronic maintenance of student records on an ongoing basis
Prepare various forms, program documents and spreadsheets
Operate office equipment such as scanners, photocopiers and printers and assist instructors with updating course log information
Taking minutes at a variety of meetings (i.e. department, Program Advisory Committee)
Other duties as assigned
Skills & Abilities:
Verbal and written communication skills
High attention to detail
Comfortable working both independently and as part of an effective and collaborative team
Ability to time-manage, adapt to changing priorities, and work under tight timelines
Ability to build relationships with a variety of stakeholders
Strong working knowledge and experience using Microsoft Office software
Experience using PeopleSoft, MS Teams and Moodle would be an asset
Understanding or experience in Natural Resources Programs
Knowledge of NAIT departments and NAIT policies and procedures would be a definite asset
Qualifications:
Completion of grade 12
Related post-secondary certificate or diploma
Minimum two years’ experience in an administrative capacity
Equivalencies may be considered
Remuneration: $44,256.+4 - $57,140.72 per year, plus a comprehensive benefits package. (Classification - Administrative Support IV).
This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).
