Job Summary:

The Hospital Front Desk Receptionist is responsible for providing a welcoming and efficient service to all patients, visitors, and staff members. This position involves handling various administrative tasks, managing patient inquiries, scheduling appointments, and maintaining an organized front desk area to ensure smooth and effective operations of the hospital.

Key Responsibilities:

Greeting and Assisting Patients and Visitors:
Warmly greet patients and visitors as they arrive at the hospital.
Provide accurate information and direct them to the appropriate department or personnel.
Respond to inquiries both in person and over the phone with professionalism and courtesy.
Appointment Scheduling and Management:
Schedule, reschedule, and cancel patient appointments as needed.
Ensure that appointment schedules are maintained accurately and efficiently.
Confirm upcoming appointments and manage patient check-ins and check-outs.
Patient Registration:

Collect and verify patient information, including personal details, insurance information, and medical history.
Enter patient data into the hospital’s electronic health record (EHR) system accurately.
Ensure all necessary forms are completed and signed by patients.
Communication and Coordination:

Serve as a liaison between patients, healthcare providers, and other hospital departments.
Communicate effectively with medical staff to relay patient information and appointment statuses.
Handle and distribute incoming and outgoing mail, packages, and other communications.
Administrative Duties:

Answer and manage a multi-line phone system, directing calls to the appropriate personnel or department.
Maintain an organized and tidy front desk and reception area.
Assist with general administrative tasks such as filing, photocopying, and faxing documents.
Monitor and maintain office supplies inventory, placing orders when necessary.
Emergency Response:

Follow hospital protocols for handling emergencies and urgent situations.
Assist in the evacuation of patients and visitors in the event of an emergency.
Qualifications:

High school diploma/Degree or equivalent.
Proven experience as a receptionist, front desk representative, or similar role.
Proficiency in using office equipment (e.g., computers, printers) and hospital management software.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Ability to handle sensitive information with confidentiality.
Customer service-oriented mindset with a positive and professional attitude.
Work Environment:

Work is typically performed in a hospital or clinical environment.
Fast-paced and can be high-stress at times, requiring quick thinking and problem-solving skills.
Regular interaction with patients, families, and medical staff.
