Job Summary:

We are seeking a professional and customer-focused Front Office Executive to oversee the daily operations of our front desk. The Front Office Executive will be responsible for managing all front office activities, including handling visitor inquiries, answering and redirecting phone calls, and providing administrative support to various departments as needed. The ideal candidate should have excellent communication and organizational skills, along with the ability to multitask and prioritize tasks effectively.

Responsibilities :
1. Greet and welcome visitors in a professional and friendly manner.
2. Answer and redirect incoming phone calls to the appropriate person or department.
3. Provide accurate information and answer inquiries from visitors, clients, and employees.
4. Maintain a clean and organized reception area, ensuring it reflects a professional and welcoming image.
5. Manage and distribute incoming and outgoing mail, packages, and courier deliveries.
6 Schedule appointments and maintain calendars for conference rooms and other shared spaces.
7. Coordinate and book travel arrangements for employees, including flights, accommodation, and transportation.
8. Assist in organizing and coordinating company events and meetings, including room setup, catering, and audio-visual equipment setup.
+. Maintain office supplies inventory and place orders as necessary.
10. Provide administrative support to various departments, including data entry, filing, and document preparation.
11. Assist in maintaining office security by following procedures and monitoring visitor access.
12. Handle confidential and sensitive information with integrity and professionalism.
13. Perform other administrative and clerical tasks as assigned.

Requirements:

1. Proven experience as a Front Office Executive or in a similar role.
2. Excellent verbal and written communication skills.
3. Strong organizational and multitasking abilities.
4. Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
5. Professional appearance and demeanor.
6. Strong customer service skills, with the ability to handle inquiries and complaints in a courteous and efficient manner.
