Job Overview
Woodsmere Holdings Corp and W&J Construction Ltd. is hiring for a full-time position as a Receptionist/ Administration Assistant at our head office location.
Woodsmere Holdings Corp and W & J Construction Ltd are locally owned Vancouver Island based companies operating in Property Management, Land Development, and New Construction for over 30 years. We are seeking a dedicated and detail-oriented Receptionist/Administrative Assistant to join our team. In this role, you will be the first point of contact for clients, trades, staff and management. The ability to communicate effectively both verbally and in writing is essential.
Responsibilities - responsibilities are subject to alterations from time to time
Greet and assist clients and visitors in a friendly and professional manner
Manage incoming phone calls with excellent phone etiquette, directing calls to appropriate personnel as needed.
Ensure that all areas of reception, copy area, storage room, kitchen and boardroom are clean, stocked and organized
Boardroom meeting preparation
Provide clerical & administrative support to owners, senior property managers, resident managers, and other staff members
Communicate with tenants regarding, applications, lease information and payments
Monitor office equipment - multi-functional printers, plotter printers, cheque printers etc. and call for service when needed
General administrative duties including filing, photocopying, data entry, etc
Receive/arrange courier service through our regular courier companies
Receive/distribute incoming mail
Assist in ordering office supplies and maintain promotional materials
Skills
2+ years or more of administrative experience and training, or a combination of both
Strong verbal and written communication skills
Proficiency in data entry and familiarity with office software applications, such as Microsoft Office, Word, Excel, Outlook etc.
Willingness to be trained on property management software
Excellent phone etiquette and communication skills for effective client interaction
Ability to multitask
Familiarity working with multi-line phone systems, copiers and printers
Ability to work independently as well as collaboratively within a team setting
Post secondary classes considered an asset
Some knowledge of the BC Tenancy Act & Property Management would be an asset
Provide a clear Criminal Record upon request
Provide a clean Drivers Abstract
