• Entity Maintenance (EM) is part of Data and Analytics Office (DAO) is responsible for set-up and maintenance of Client Entity Reference data and client unique identifiers in ERDS (Entity Reference Data System) Golden Source system. This involves setting up, independently validating the client legal entity status, and maintaining up to date client information for the Global Banking & Commercial banking (CMB) line of business.
• The function leverages globally consistent operating principles and a standard service proposition to deliver high-quality client data and its ongoing maintenance throughout the client life cycle with HSBC. The function operates globally as one integrated team with to provide service across the group.
• The function supports the onboarding process by undertaking initial client entity legal verification and then subsequently setting up trading accounts and loading settlement instructions. The function is supported by a hub-spoke model, whereby teams undertake all the processing work for over 56 countries and onshore hub provides business relationship management and support. Given the nature of the data function maintains, the team is also supporting client data readiness for Global Standards, various regulatory demands impacting GBM business including client off boarding.

• The role of Business Manager is critical for supporting the department strategy of ensuring client data is always fit for business consumption. The Entity team undertakes Legal Entity Verification, Input and Approval in ERDS. It also actively participates in data readiness projects to support the Organization wide programs. This covers all Global Banking, Global Markets, Commercial Banking Client (utilizing Global Markets Products), Prime Services (PS), Funds and Strategic clients across geographic locations.
• The role is that of a Domain / Subject Matter Expert which will support the AVP / VP in driving process and department level agenda. The individual will need to work quite independently without day-to-day supervision, strong inter - personal skills and ensue that the team is aiming to improve data quality and building strong data capability with in the team.
• The Business Manager primarily supports the Connect pillar of the strategy

Key priorities include:
• Manage the direct and indirect costs and hiring within the budget, ensuring smooth functioning of the business.
• Enrich the existing capacity model focusing on optimum resource utilization and improve efficiency by 25% Year on Year.
• Ensure performance tool usage discipline in the department by daily monitoring and feedback to the staff.
• Owns, generate, and explore the opportunities to automate all the process and performance reports/MI for the staff by the defined deadlines.
• Lead and manage the end-to-end migration/re-location/expansion of the process.
• Manage complete hiring process including staff onboarding, access, exits, HR tools, Mandatory learning, etc.
• Generate ideas and propose plans on process re-engineering to enhance efficiencies in the current operating model.
• To act as Subject Matter Expert and contribute towards the operations basis the business need.
• Review existing Datavisa, SLA, follow up on Procedural Review as per the renewal cycle.
• Host any Meetings, Visitors, Short term travels, Team Outing and record appropriate MOM.
• No negative stakeholder feedback.
• Demonstrate strong teamwork and collaboration within DAO (Data Analytics Office) and wider business areas.

Governance and Committee Memberships (membership of ExCos, Risk Management Meeting)
• Nil breaches on conduct, data, and Information Control policy within the process. Immediate escalation on control failures and issues identified, followed by timely DES submission.
• Nil misses on regulatory reporting (BCAN, HKMA, EMIR, etc.).

What you’ll do:

Principal Accountabilities and Responsibilities (e.g., for Business, Customers and Stakeholders; internal control environment, etc.)

Key responsibilities include some of but not limited to:
• Prepare and present budget and fund allocation to the various aspects of the department cost center.
• Resource planning by forecasting headcount numbers required for the process.
• Raising expansion/backfill request
• Drafting the Job Description for the roles
• Lead Staff hiring process in line with the HR protocol
• IJP reviews and Interview scheduling with the panelists
• Onboarding assistance to the staff on the company assets, accesses, and training.
• Offboarding assistance by revoking all the required access and surrendering of the assets.
• Daily review/feedback of the staff activities by monitoring internal performance tool for each staff on its usage and discipline.
• Generate, publish, and present all process & people performance reports on daily/weekly/monthly basis and explore the options to automate these reports as appropriate.
• Lead the complete process migration/re-migration or re-location including all communication strategy, documentation and arranging required training sessions in line with the training team.
• Calculate and where business required, reset RPH targets of each production queue at least half yearly by presenting relevant analysis to the senior management.
• Formulating and running the hybrid working rotation in line with the Organization policies.
• Leave management for the department to ensure proper coverage round the clock to meet business requirement.
• Engages confidently with colleagues, customers and internal / external stakeholders driving collaboration to achieve collective goals and business priorities.
• Co-ordinate any team meeting arrangement with management, hosting the visitors, planning any sort of business travel, team outing, etc. along with all relevant adherence to the polices and recording the minutes for future references.
• Ensure full utilization of resources and equal distribution of workload across teams/individuals/sites.
• Self-unplanned leave <5% to meet personal and medical exigencies. Team's unplanned leave =<15%.
• Ensure delegated task managed with nil escalations, accompanied with handover emails for all extended leave period.

Leadership & Teamwork
• Co-ordinates and oversees work for the department to meet agreed deadlines.
• Direct involvement in regulatory audits and performance tracking ensuring nil repeated finding and any audit recommendation/finding are closed within agreed timelines. All tasks for global standards and procedures are aligned as per FIM guidelines.
• 100% completion rate of mandatory training and Global Standards programme training for self & team, before due date.
• Generating, publishing, and explaining the monthly PMI reports by first week of each month to let staff know on their performance and areas of improvement,
• Lead and drive CSR activities, Rewards and Recognition for the entire team/department.
• Support staff well-being by acting as first point of contact for any clarification on various employee assistance program offered by the organization.
• Work as a team and drive the teamwork culture across all the levels.

Requirements

What you will need to succeed in the role:
• Excellent interpersonal skills
• Excellent Data visualization skills and technical tools like MS Excel, Power BI, Qlik, SQL.
• Ability to comprehend and minimize operational risks including wide understanding of audit controls and compliance requirements
• Evidence of process re-engineering
• Evidence of very good prioritizing, planning, and organizing skills.
• Evidence of having taken difficult decisions in a complex operational environment including HR related matters.
• Ability to effectively communicate and implement group policies and procedures
• Strong business and commercial awareness
• Must be well organized and able to multi-task effectively and efficiently Ability to solve problem & clearly articulate requirements to implement and drive solutions
• Analytical skills, with ability to recognize areas for development.
• A positive self-starter.

What additional skills will be good to have?
• Prototyping, experimentation, development, and implementation of various analytical techniques using tools such as SQL, Python, Qliksense.
• Identifying new opportunities and providing expertise to support delivery of complex analytics use cases.
• Cross-disciplinary skills to lead data exploratory analysis, run POCs and prototypes, having a comprehensive understanding of the end-to-end data lifecycle.
• Experience in engaging with and communicating to technical and non-technical audiences and capable of identifying the best data solution to solve business problems.
• Broad understanding of different analytical techniques (e.g., NLP, Optimisation, Classification, regression) and data types (structured, unstructured, semi-structured) and their utilisation.
• Strong quantitative background e.g., Mathematics, Statistics and Probability and be able to perform complex queries using Data Science tools e.g., SQL, Python,Qliksense.
