Role Overview

As the Sales & Marketing Operations Coordinator, you will be at the center of our revenue generation infrastructure, optimizing HubSpot systems and campaign performance to maximize business opportunities. This position is ideal for analytical problem-solvers who excel at identifying process inefficiencies and implementing data-driven solutions and loves people. The role requires both strategic insight and tactical execution, with regular performance evaluation and process refinement.

Key Responsibilities

Sales Operations (60%)

Analytics & Pipeline Management: Conduct comprehensive HubSpot analyses to identify valuable opportunities within our sales pipeline, including prospect identification, reactivation, high-potential account identification, and process bottlenecks.
Lead Management & Prioritization: Design and implement lead scoring models to prioritize outreach based on behavioral signals, engagement, and firmographics. Ensure seamless lead routing to sales executives and establish SLAs for follow-up.
Performance Measurement: Establish and monitor key performance indicators including conversion metrics and response efficiency, translating complex data into actionable insights for leadership. Maintain and continuously improve the integrity of CRM data, ensuring all contact records, lifecycle stages, and deal pipelines are consistently accurate and actionable. Conduct routine audits and deduplication to support segmentation, automation, and reporting.
Cross-Functional Integration: Collaborate with executive leadership and operations teams to continuously refine processes based on field intelligence and performance analytics.
Marketing Campaigns (20%)

Strategic Audience Engagement: Support leadership in design and execution of targeted communication campaigns across email and LinkedIn platforms to re-engage prospects and align with sales objectives. Set up drip campaigns and nurture flows accordingly.
Message Optimization: Implement structured testing methodologies for communication effectiveness, with scalable deployment of successful approaches.
ROI Analysis: Develop models connecting marketing initiatives to revenue outcomes, providing clear performance metrics and investment justification.
Other (20%)

Tech Stack Management & Integration
Own HubSpot administration and ensure smooth integrations with other platforms (e.g., Gmail/Outlook, LinkedIn, ZoomInfo, Calendly, etc.). Collaborate with vendors or IT as needed for enhancements.
Documentation & Knowledge Sharing
Maintain clear documentation of workflows, campaign processes, and reporting structures to support cross-functional visibility and reduce operational friction.
Support for additional strategic initiatives as our organization continues its growth trajectory.

Qualifications

Essential Requirements

Must be legally able to work in Canada
Professional Experience: 3-5 years in sales/marketing operations, with preference for B2B or professional services sector experience.
Technical Proficiency: Demonstrated expertise in HubSpot platform configuration, including workflow development, lead scoring implementation, and campaign automation.
Analytical Capability: Proven ability to extract meaningful insights from complex datasets to inform strategic decision-making.
Communication Excellence: Demonstrated skill in translating technical concepts for cross-departmental understanding and collaboration.
Preferred Qualifications

HubSpot platform certifications, particularly in Integration or Marketing specializations.
Prior experience in negotiation training, conflict resolution, or high-consequence industry environments.
