JOB DESCRIPTION

Job Title: Secretary to the CEO

Level & Grade: Senior Executive

Division/ Dept.: Executive Office

Cost Center: 10001

Reports to: CEO

Date of Joining: To be discussed during the interview process.

Job Purpose:

The Secretary to the CEO of Digi Yatra Foundation will be responsible for providing administrative and executive support to the CEO. The successful candidate will have excellent organizational and communication skills and the ability to work independently while managing multiple priorities.

Principal Accountabilities with Major Activities:

1. Executive Support:

a. Manage the CEO's calendar, including scheduling appointments and coordinating meetings.

b. Screen calls and correspondence, redirecting as appropriate.

c. Prepare reports, presentations, and other materials for the CEO's review.

d. Assist in the preparation of reports and presentations for the CEO, including data analysis and research.

2. Travel Coordination:

a. Arrange travel for the CEO and other senior executives, including flights, accommodation, and ground transportation.

b. Prepare travel itineraries and ensure all travel arrangements are made in a timely and cost-effective manner.

3. Correspondence:

a. Manage and prioritize the CEO's incoming and outgoing correspondence, including emails, letters, and other documents.

b. Draft, proofread, and edit correspondence and other written materials as required.

c. Handle confidential and sensitive information with the utmost discretion.

4. Meeting Coordination:

a. Coordinate all aspects of the CEO's meetings, including scheduling, agenda preparation, venue booking, and preparing meeting materials.

b. Manage the CEO's calendar and schedule appointments, meetings, and conferences.

c. Attend meetings with the CEO, taking minutes and tracking follow-up actions.

5. Administrative work

a. Develop and maintain an efficient filing and documentation system for the CEO's office.

b. Assist in the planning and coordination of internal and external events as required.

Dimensions of Interaction:

The Secretary to the CEO will interact with the following individuals and groups:

· CEO and Executive Leadership Team

· Other departments within the organization

· External stakeholders, including vendors, partners, and customers

Operating Network:

The Secretary to the CEO will work closely with the following individuals and groups:

· Internal:

o CEO, Executive Team, Board Members, Department Heads, Staff

o Other departments within the organization

o Administrative support staff

· External:

o Business Partners, Vendors, Service Providers, CEO and Executive Leadership Team

Job Specification with Qualifications required:

· Bachelor's Degree in Business Administration or a related field.

· 5+ years of experience in a similar role supporting senior executives.

· Experience in the IT services industry would be an advantage.

· Strong proficiency in Microsoft Office suite and other relevant software.

· Excellent communication and interpersonal skills.

· Highly organized with strong attention to detail.

· Ability to work under pressure and manage competing priorities.

· Proven ability to maintain confidentiality and handle sensitive information.

· Strong problem-solving skills and ability to work independently.

· Experience in project management and event planning would be an advantage.

Important Note:

The Work location/ Office of the DYF is in New Delhi, most likely near Safdarjung Airport, however during the initial few months, since our office is still being setup, we would need you to work from home till the Office is physically ready
