POSITION SUMMARY

The Sr. Grants and Subaward Analyst is a hybrid role, with 70% of the responsibilities focused on pre- and post-award activities, and 30% dedicated to subaward management. The ideal candidate possesses a minimum of four years of research administration experience, a comprehensive understanding of various funding types, and a proven ability to collaborate effectively in complex academic or research settings. Strong interpersonal skills and a service-oriented approach are critical for success in this role.

KEY RESPONSIBILITIES

Pre-Award:

Collaborate with faculty members to prepare and assemble grant proposals, ensuring alignment with sponsor, institutional, and federal guidelines.
Independently evaluate grant opportunities, create internal checklists, and provide expert guidance to faculty and staff during proposal development.
In consultation with principal investigator (PI), prepare budget components for proposed research projects.
Interpret, communicate, and apply financial, programmatic, regulatory, and administrative guidelines from funding opportunity announcements.
Act as primary liaison between principal investigators and external sponsors during proposal submission and contract negotiation.
In collaboration with principal investigator, update and maintain the Other Support document.
Conduct a preliminary review of all sponsored awards/agreements for the assigned portfolio to ensure terms and conditions are acceptable to Buck.
Post-Award:

Establish and maintain sponsored project accounts in Sylogist, ensuring compliance with institutional policies and sponsor requirements.
Interpret sponsor policies, institutional guidelines, and federal and state regulations related to the terms and conditions of the award, the conduct of the project, and the delivery and reporting of project results.
Forecast future commitments and spending rates to minimize over-expenditures and advise PIs on account status, projections, and spending plans keeping them informed of Institution, State, and Federal rules and regulations. Meet with assigned investigators quarterly to review financial statements/projections.
Coordinate and implement effort/salary allocation within the labor cost accounting system (EARS) for assigned portfolio.
Monitor and coordinate timely submission of project reports per award terms.
Prepare journal entries, budget adjustments, and analysis of budget vs. actuals.
Review and approve grant reimbursement payments.
Manage timely closeout of awards.
Subaward Management:

Prepare and issue subaward agreements aligned with sponsor and institutional policies for all sponsored grants awarded to Buck.
Determine appropriate flow-down of terms and conditions to subrecipient institutions.
Manage subrecipient monitoring activities, including completion of risk assessments, collect audit documents from subrecipients, develop analyses and reports that ensure compliance with mandated requirements relative to subrecipient monitoring, and recommend improvements.
Collaborate with the FFATA Coordinator to ensure timely submission of FFATA reports.
Other:

Assist with annual A-133 audit.
Maintain internal databases and shadow systems.
COMPENSATION & BENEFITS

$75,000 - $85,000 salary commensurate with experience
100% remote position

Job Requirements:

Education & Experience:

4+ years demonstrated pre- and post-award experience
CRA preferred
Specialized Skills:

Strong customer service focus is essential
General accounting knowledge
Familiarity with PHS grant policies and Uniform Guidance
Excellent verbal and written communication skills
Experience with Cayuse, EARS, and Sylogist preferred but not required
Strong attention to detail, prioritization, and time management capabilities
Ability to treat sensitive information confidentially and professionally
Advanced MS Excel skills required; can quickly grasp new software programs and techniques
