JOB DESCRIPTION: TENDER EXECUTIVE
Position: Tender Executive Company: Rooplaxmi Electricals Location: Landewadi, Bhosari, Pune
Rooplaxmi Electricals, a leading electrical equipment manufacturer and supplier, is seeking a highly organized and detail-oriented Tender Executive to join our team. As a Tender Executive, you will play a crucial role in assessing tender requirements, managing documentation, and coordinating site activities. Your expertise and meticulousness will contribute to our success in securing and executing projects.
Responsibilities:
Tender Assessment:
Conduct a comprehensive review of all terms, conditions, and specifications mentioned in the tender documents.
Analyze the technical requirements, pricing details, and contractual obligations outlined in the tender.
Summarize and communicate the key points and critical aspects of the tender to the relevant stakeholders.
Create a checklist of the necessary documents and attachments required to complete the tender submission.
Document Management:
Coordinate with internal teams, such as legal, procurement, and engineering, to gather the required documents and information.
Ensure all documents are accurate, complete, and properly formatted for tender submission.
Maintain a systematic filing system to organize and store tender-related documents securely.
Collaborate with the legal team to review and finalize legal aspects of the tender documents.
Site Management:
Coordinate site visits and assessments to gather accurate information for tender preparation.
Liaise with project managers and site supervisors to understand project requirements and constraints.
Assist in the preparation of technical documentation, such as project plans, drawings, and specifications.
Collaborate with cross-functional teams to ensure smooth execution of projects, addressing any site-related issues.
Relationship Building:
Establish and maintain effective relationships with clients, suppliers, and subcontractors involved in the tendering process.
Engage in proactive communication with stakeholders to address queries, provide updates, and negotiate terms, if required.
Participate in pre-tender meetings and post-tender negotiations to represent the organization's interests.
Requirements:
Bachelor's degree in Engineering, Business Administration, or a related field.
Previous experience in tender assessment, document management, and site coordination within the electrical or construction industry is preferred.
Excellent understanding of tendering processes, including knowledge of legal and contractual obligations.
Strong analytical skills to assess tender documents and identify key requirements.
Exceptional attention to detail and ability to manage multiple tasks simultaneously.
Effective communication and interpersonal skills to collaborate with internal teams and external stakeholders.
Proficiency in MS Office applications and document management software.
