Responsibilities:
Finance Duties:
Processing client invoices and payments daily.
Tracking credit card expenses, and making payments.
Practice effective monitoring to ensure payments are made to vendors in a timely manner.
Assists finance team to reconcile bank accounts daily and bank statements monthly.
Verify invoices against purchase orders and ensure goods or services were received before issuing payment to vendors.
Establishing and maintaining relationships with new and existing vendors.
Analyzing workflow process and looking for efficiencies.
Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.
Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed.
Payroll Duties:
Assist the Human Resource Director with payroll processing and timekeeping software for company and client accounts.
Record keeping and timeline tracking for onboarding, current employee changes, and separations.
Assist with benefit tracking timeline and record keeping.
Reconcile, process, and track benefit vendor bills to ensure employee enrollments.
Communicate effectively with employees and managers on HR policies and best practices and assist with answering HR related inquires.
Building strong relationships with clients to facilitate HR employment issues and practices.
Required Skills:
Must be reliable.
Must be able to pass a criminal background check.
Must be proficient in Microsoft Office, Excel and related programs.
Must be able to learn other accounting software systems.
Excellent organizational skills and attention to detail.
Ability to maintain confidential and meticulous records.
Strong data entry skills for expense reports.
Knowledge of accounting principles and Accounts Payable processes.
Familiarity with purchase order processes.
Ability to work either independently or collaboratively as needed.
Strong communication and organizational skills.
Distinctly self-motivated and cable of handling multiple tasks in a high-pressure environment.
Education and Experience Required:
High school diploma required; Business, Accounting, or HR degree preferred.
Certified Accounts Payable Professional (CAPP) certification preferred.
Three year's of experience preferred, Minimum 1 year required.
Use of Desktop Quickbooks.
Use of Payroll processing Software.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
