Job Description:

Overview:

We are seeking a highly organized and proactive Admin Executive to join our team. The Admin Executive will be responsible for providing comprehensive administrative support, ensuring smooth office operations, and assisting with various tasks to contribute to the efficiency and success of our organization. The ideal candidate is detail-oriented, adaptable, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities:

Administrative Support:

Perform general office duties such as answering phones, managing emails, scheduling meetings, and greeting visitors.

Prepare and edit correspondence, reports, presentations, and other documents as needed.

Handle incoming and outgoing mail, packages, and deliveries.

Office Management:

Maintain office supplies inventory and place orders as necessary.

Ensure the office is clean, organized, and well-maintained.

Coordinate with service providers and vendors for office maintenance and repairs.

Calendar and Travel Management:

Manage and maintain executives' schedules, appointments, and travel arrangements.

Coordinate meetings, conferences, and company events, including logistics and catering.

Data Entry and Record Keeping:

Maintain and update company databases, records, and filing systems.

Ensure accurate data entry and proper documentation of records.

Financial Administration:

Assist with basic bookkeeping tasks, including processing invoices, expense reports, and reimbursements.

Support the finance team in preparing financial reports and budgets.

HR Support:

Assist in the recruitment process by scheduling interviews and managing candidate communications.

Help onboard new employees and maintain personnel records.

Project Assistance:

Provide administrative support for company projects and initiatives.

Assist in preparing project documentation, tracking progress, and ensuring deadlines are met.

Communication Coordination:

Act as a liaison between different departments, facilitating effective communication and collaboration.

Prepare and distribute internal communications, announcements, and newsletters.

Customer Service:

Address general inquiries from clients and stakeholders, providing information and assistance as needed.

Handle customer complaints and escalate issues to the appropriate department or personnel.

Required Skills and Qualifications:

Education:

High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or related field preferred.

Experience:

Proven experience as an Administrative Assistant, Office Manager, or similar role.

Technical Skills:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.

Basic understanding of bookkeeping principles and financial procedures.

Communication Skills:

Excellent verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.

Organizational Skills:

Strong organizational and multitasking skills, with attention to detail and accuracy.

Problem-Solving:

Ability to prioritize tasks and manage time effectively, solving problems and addressing issues proactively.

Adaptability:

Ability to work independently and as part of a team, handling changing priorities and tasks.

Preferred Qualifications:

Experience in Event Coordination: Prior experience in planning and coordinating meetings, events, or conferences.

HR Support Experience: Familiarity with HR processes, including recruitment and onboarding.

Knowledge of Office Equipment: Understanding of the use and maintenance of office equipment such as printers, copiers, and fax machines.

Project Management: Basic knowledge of project management principles and tools.
