MDPI Canada is looking for an Administrative Assistant to support our management team with daily tasks as well as the management of the company's properties. The position of Administrative Assistant is a full-time, in-office, and permanent position based in our North York office in Toronto, Canada.
Tasks & Responsibilities
The successful candidate will report directly to multiple executives for assistance with tasks including, but not limited to
Act as administrative coordinator with headquarters and peer offices.
Schedule and coordinate meetings and events, including planning for company events.
Manage office social media accounts.
Support internal company culture and team building.
Process expenses and expense reports, budgeting, invoicing etc.
Manage the assets of the office.
Undertake general office care and upkeep.
Collect and deliver mail and packages.
Order, pickup, and delivery of parts, packages, and materials to/from locations within the GTA.
Answer calls to the office.
Daily office work required from Monday through Friday, with occasional travel within the GTA.
Requirements
A bachelor's degree in management, business, or an equivalent field.
One year of experience in an administrative project-management-related role, with proven experience in project management.
Excellent client-facing and internal communication skills, both written and verbal.
Solid organizational skills, including exceptional attention to detail and the ability to multitask effectively.
Exceptional time management skills to handle multiple tasks and meet deadlines.
Flexibility and adaptability to handle changes and shifting priorities.
Ability to handle sensitive and confidential information appropriately.
Capability to quickly learn new systems, processes, and procedures.
Strong initiative and follow through with tasks or projects given.
