The Role
Join a leading nationwide consultancy and play a critical role in supporting the daily operations of a growing professional services firm. We are seeking an experienced and highly organised Administrative Assistant to join our team in a part-time, permanent role.
You will be supporting a high-performance team of consultants who deliver energy efficiency and building compliance reports across Australia. This is a fully remote position suited to an individual who is proactive, detail-oriented, and comfortable working independently.
Work Arrangement:
Permanent part-time, 30 hours per week (Monday to Friday, 8:00 AM – 2:00 PM).
Potential for additional hours as the company scales.
Fully remote, work-from-home position.
6-month probationary period.
Your Responsibilities
Reporting to our Operations Manager, your duties will include:
Managing inbound phone calls in a friendly, professional manner and triaging technical enquiries.
Screening and responding to emails, updating job statuses, and coordinating client communication.
Creating new jobs in our internal system and extracting client information from documentation.
Issuing quotes and invoices, and following up on overdue accounts.
Monitoring project deadlines and ensuring our project management system remains current.
Assisting with compliance documentation and basic research on legislative updates.
Providing general administrative support across the business.
Essential Requirements
Minimum 2 years’ experience in a similar administrative role.
Proficiency with Microsoft Word, Microsoft Excel, Adobe Acrobat, and Xero.
Excellent written and spoken English.
Ability to work independently and meet deadlines consistently.
A professional and courteous phone manner.
A suitable work-from-home setup, including:
Operating System: Windows 10 or 11
Processor: Intel Core i5 (10th Gen+) or AMD Ryzen 5 (3000 series+)
RAM: Minimum 16GB
Display: Dual monitors
Internet: Reliable internet (minimum 25 Mbps)
Advantageous Requirements (Not Essential)
Experience working in a consultancy, construction, or professional services environment
Familiarity with project management or job tracking software
Experience with invoicing, accounts receivable, or quoting systems
