Responsibilities
The Administrative Assistant is a full-time, on-site position on the MoakCasey team
This position reports to the Chief Operating Officer and is responsible for managing administrative functions for the COO as well as other members of the C-Suite, and for completing special projects as needed
The ideal candidate has excellent judgment and is highly organized, collaborative, motivated to grow and learn, and thrives in a fast-paced environment
General administrative duties as assigned, including, but not limited to:
Scheduling and tracking meetings and attendee confirmations, assisting with virtual meetings, planning and coordinating legislative, conference-adjacent and political events
Tracking relevant conference deadlines and ensuring timely submissions and housing reservations
Coordinating travel arrangements and managing calendars, specifically for the COO
Preparing for internal and external meetings and events, including scheduling locations, setting up and ensuring the efficacy of technology, and coordinating refreshments
Organizing receipts and preparing and submitting expense reports
Answering phones and providing prompt, accurate, and friendly customer service to customers
Assisting in the preparation and editing of reports, presentations, and other documents
Handle confidential information with discretion and maintain a high level of professionalism
Completing special projects as necessary
Additional hours may be required to include early mornings, evenings, weekends, and holidays
This job is not suitable for remote work and is expected to work regular on-site hours

ESSENTIAL FUNCTIONS:

General administrative duties as assigned, including, but not limited to:

• Scheduling and tracking meetings and attendee confirmations, assisting with virtual meetings, planning and coordinating legislative, conference-adjacent and political events.
