Responsibilities
This position will provide administrative assistance and support to the Assistant Dean of Preclinical Education, Montana College of Osteopathic Medicine in Billings, Montana
Coordinate daily functions of the Office of the Assistant Dean, performing a broad spectrum of administrative and secretarial duties; screens visitors and phone calls; and handles inquiries and requests for information as appropriate; maintains appointment calendar; reviews and/or coordinates mail and documents for signature
Interact with faculty, staff, visitors, and students, providing direction and support on behalf of the Assistant Dean as needed
Coordinate and attend meetings; prepare agendas, minutes, supporting documents and reports; and uphold the highest level of confidentiality and professionalism
Maintain the daily calendar for the Assistant Dean – schedule meetings and appointments; coordinate special events, as needed
Coordinate travel and hotel accommodations for the Assistant Dean
Cross-coverage of administrative functions within the University as necessary
Work cooperatively with others
Orders supplies for the department and works cooperatively with other PCE Administrative Assistants to ‘manage’ the Faculty Kitchen
Provide administrative support related to teaching and curriculum for the Assistant Dean and other faculty as assigned
Support may include working within the Learning Management System, interactions with the Office of Testing, attendance, and other duties as assigned
Support and create related administrative systems, processes and policies as needed
Help build a culture that respects, values, and promotes diversity, equity, and inclusion
Other duties may be assigned which might include project and committee assignments for the university

Primary Purpose
