Mental Health Services: Ballarat locations
Permanent Part-Time (Saturday - Tuesday: 8:30am – 5.00pm) - 64 hours per fortnight
About the position
Grampians Health is seeking a highly motivated and experienced Administrative Services Officer (ASO) to join our Mental Health & Wellbeing Service. As a leading healthcare provider in the region, Grampians Health is committed to delivering high-quality care and service to our patients and the broader community.
About the Role:
This role provides vital front-line reception and administrative support to our Mental Health community teams and inpatient units located throughout Ballarat.
Saturday–Sunday: Administration duties within an inpatient mental health unit.
Monday–Tuesday: Office-based reception and general administrative support (8:30am–5:00pm).
About You:
We are looking for a candidate who is:
Customer-focused with strong communication and interpersonal skill
s
Experienced in working within a mental health or medical setting (highly desirable
)
Familiar with medical software and electronic medical records systems (highly desirable
)
Able to manage competing priorities in a fast-paced healthcare environmen
t
Key Responsibilities
Manage reception, phone, and front line enquiries with professionalis
m
Maintain patient information using CMI, WebPAS, BossNet (OPAL), and mor
e
Compile correspondence, type medical reports, and support data reportin
g
Support calendar management, meeting agendas, and room booking
s
Audit and update data to ensure patient record accurac
y
Contribute to service improvement and admin system efficienc
y
Skills & Experience
Minimum of three years’ experience in a similar role is preferable and/or completion of Certificate Ill or IV of Business Administration
.
Proven admin experience in a health, mental health, or medical settin
g
Proficient in Microsoft Word, Excel, Outlook, and health information system
s
Confident communicator with strong customer service skill
s
Ability to prioritise under pressure and adapt to changing need
s
Understanding of medical terminology and confidentiality principle
s
