About the Role:
A typical day in this role may involve but is not limited to:
Reception Duties: Answering phone calls, assisting customers, booking couriers, receiving incoming goods, and greeting clients and suppliers.
Accounts Payable: Data entry of purchase receipts, supplier bills, and credit card receipts, processing payments, and generating weekly Payables Reports.
Accounts Receivable: Creating invoices from service reports, and receipting payments.
Bank Reconciliation: Daily balancing and monthly reconciliation of multiple bank accounts, credit cards, and fuel cards.
Administrative Support: Assisting the Director, Service Managers, and Field
Service Technicians.
OH&S Compliance: Preparing and maintaining OH&S submissions, compliance documents, and inductions.
Email Management: Monitoring and processing emails.
Inventory Control: Assisting with inventory management.
Ad Hoc Duties: Addressing any other duties as they arise.
While the procedures currently in place must be followed, we welcome new ideas or suggestions for improving and streamlining our processes.
This is a permanent part-time position and will commence with the below Initial schedule hours and gradually build over time and training to include both the initial schedule and progressive schedule hours:
Initial Schedule: Monday - Tuesday: 8:00 AM to 4:30 PM
After training hours will increase to include : Thursday - Friday: 8:00 AM to 4:30 PM
The successful candidate must also be available to cover any additional days when other administration team members are on leave
The ideal candidate will have:
At least 5 years of administration experience with strong references and a stable work history.
The ability to navigate and drive enterprise-level accounting software with ease.
Proficiency in processing invoices, remittances, and reconciling bank and credit card statements with accuracy.
Experience in managing debtors and creditors, preparing detailed monthly financial reports for the Director, and assisting in preparing reports for the Company Accountants.
Excellent interpersonal skills, enjoying customer contact and building lasting relationships.
A team-oriented mindset, with a passion for providing support to Service and Sales Managers.
