McMillan has an exciting full time opportunity as an Administrative Specialist as part of our Document and Administrative Support Hub (“DASH”) team. The role of the Administrative Specialist is to provide our Legal Professionals and Legal Administrative Assistants with onsite and remote administrative support. The role is full time from Monday to Friday. This position requires the applicant to work onsite, with occasional opportunities for remote work as needed.

What You’ll Do

Under the supervision of the Manager, National DASH, The Administrative Specialist will provide administrative support to Legal Professionals and Legal Administrative Assistants, nationally. Your duties and responsibilities will include but are not limited to preparing and submitting documentation required to open new client matters and close old matters, submitting cheque requisitions, printing proformas, processing expense claims, document revisions and mark-ups/copy-typing, creating file folders, assisting with filing (electronic and physical), and electronic profiling of documents in our document management system. You may also assist with the coordination of onsite meetings, entering dockets for Legal Professionals and other administrative duties or projects as necessary. This role also presents significant potential for growth, particularly in developing your technical skills and advancing your career within our firm.

What You Bring

Your history includes a Legal Assistant Diploma or 1-2 years of administrative assistant experience, preferably within a law firm setting, or a recent graduate from a Legal Office Administration program. You have strong administrative, organizational and interpersonal skills. You are detail-oriented and are able to effectively meet deadlines, work well in a team setting, and provide an exceptional level of client service. You take initiative, are solution-oriented, and are able to prioritize work to handle conflicting deadlines. You embrace evolving technology and have strong skills in Microsoft Word and Outlook. Prior experience with other Microsoft applications and iManage or a document management system would be an asset. Finally, you are flexible to work additional hours on occasion or on short notice.

Salary range: $4+,000 - $52,000 annually
