In need of a motivated, stylish, and detailEd oriented administrative and logistical support to the head event planner, assisting with all aspects of event planning including venue research, vendor management, guest communication, budget tracking, on-site setup, and event execution, ensuring seamless operations and a successful event experience for clients; often requiring flexibility with hours, including evenings and weekends, to accommodate event schedules. Key Responsibilities:
• Pre-Event Planning:
• Research and source potential venues, catering options, and vendors based on event requirements and budget.
• Assist in developing event timelines, agendas, and detailed checklists.
• Manage guest lists, send invitations, and track RSVPs.
• Coordinate contracts with vendors, including pricing negotiations and ensuring compliance.
• Create and maintain detailed event budgets, tracking expenses against allocated funds.
• On-Site Event Management:
• Coordinate event setup, including decorations, audio-visual equipment, and signage.
• Manage on-site logistics, including guest check-in, registration, and directing attendees
• Resolve any issues that arise during the event and adapt to unexpected situations
• Assist with speaker introductions, presentations, and stage management
• Post-Event Follow-Up:
• Send thank you notes to attendees and vendors
• Review event feedback and compile post-event reports
• Assist with invoice processing and reconciliation

Required Skills and Qualifications:
• Excellent organizational and time management skills
• Strong communication and interpersonal abilities to interact with clients, vendors, and guests
• Detail-oriented with the ability to multitask and manage multiple projects simultaneously
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
• Basic understanding of event planning software (if applicable)
• Flexibility to work evenings, weekends, and on-site during event execution
